SUPERVISORS: Executive Dean of Student and Academic Services

BASIC FUNCTION: This position has the responsibility of maintaining the daily operation of the Academic Council and providing support services and assistance to the Deans, Director, and faculty of the Arts, Science, Business, Health and Online Divisions.

QUALIFICATIONS:

Required – Diploma from a secretarial training program or Associates degrees or

Three years of recent secretarial experience

Microsoft Office proficiency

Preferred – Bachelor’s Degree.

Bilingual in English and Spanish languages.

DESIRED CHARACTERISTICS:

1. Knowledge and experience in working with computers and other office equipment.

2. Organizational skills (i.e., schedule meetings, complete assignments on a timely basis, manage numerous tasks).

3. Ability to maintain confidentiality and a commitment to Northwest Iowa Community College.

4. Must possess versatility and initiative, and be able to organize and carry out a variety of assignments.

5. Skills in written and oral communications, proofreading, spelling, basic math and bookkeeping, telephone skills, office etiquette, and interpersonal skills.

6. Decision-making ability and ability to work with minimum supervision.

DUTIES/RESPONSIBILITIES:

1. Serve as the confidential office assistant to the Deans/Director of Arts, Science, Business, Health and Online Divisions.

2. Responsible for doing all word processing work requested by the Deans/Director, which may include correspondence, reports, schedules, curriculum, five-year program reviews, etc.

4. Assure that all files and filing are maintained in a current and accurate manner within the Division office.

5. Develop and maintain as requested by the Deans/Director all division level data, i.e., faculty utilization, class registrations, enrollment patterns, classroom and laboratory usage, and meeting minutes.

7. Assist in confirming the accuracy of ICCOC billing.

6. Prepare all individual contracts, on a course-by-course basis, for all adjunct faculty including EMS, Clinical, and full-time and student overloads. Coordinate and submit forms, i.e., contracts, W-4, employee personnel data, employment eligibility verification, and transcripts.

7. Serve as communication link as appropriate with adjunct and full-time faculty, students, and Academic Council.

8. Assist in course scheduling.

9. Assist in NACEP oversight.

10. Responsible for putting all Arts, Science, Business, and Health classes on the calendar and removing classes that do not run.

11. Provide overall support services to the full-time and adjunct faculty within the Academic Council Divisions.

12. Review and update syllabi as submitted by faculty.

13. Assist in updating resource courses in Canvas.

14. Assist in development and management of surveys.

15. Assist in the development of new programs and programmatic accreditation.

16. Develop and provide book lists to the bookstore for all Arts, Science, Business, Health, and Online programs, including ordering examination copies and faculty support materials for adjunct faculty.

17. Assist the Deans, Director, and faculty on catalog revisions and development of all new program proposals.

18. Attend conferences and workshops taking an active part in staff development as directed by supervisor.

19. Perform other duties as assigned.

WAGE/SALARY RANGE: Based on education and experience.
