Description About the Position:Our tax firm is looking for a reliable and organized Part-Time Administrative Assistant to join our team. This role is essential to maintaining smooth daily operations and supporting our staff during tax season and beyond. The ideal candidate is detail-oriented, proactive, and enjoys working in a client-focused environment. With flexible hours, this position is ideal for someone looking to balance work with other commitments while gaining experience in a reputable tax firm.Responsibilities:

Front Desk Management: Handle incoming calls, emails, and client inquiries in a professional, welcoming manner; manage client check-in and appointment scheduling.

Document Preparation & Filing: Assist in preparing, organizing, and securely filing tax documents, client records, and other sensitive information according to firm standards.

Scheduling & Calendar Management: Support scheduling of client appointments, meetings, and team events, maintaining an organized calendar for optimal efficiency.

Data Entry & Record Management: Accurately input client information into tax software and ensure all records are updated and maintained securely.

Client Support: Assist with client communications and follow-ups, including sending reminders, gathering documentation, and addressing basic questions.

Office Supplies & Organization: Monitor office supply inventory, order materials as needed, and keep common areas organized and ready for clients.

Project Support: Contribute to various team projects, particularly during peak tax season, with tasks such as assembling client packets and managing mailings.

Requirements

Qualifications:

Administrative Experience: Previous experience in an administrative role preferred, especially in tax, accounting, or professional services environments.

Attention to Detail: High level of accuracy and organizational skills, particularly with sensitive information and deadlines.

Communication Skills: Strong written and verbal communication skills, with a client-focused and professional demeanor.

Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with tax or client management software.

Confidentiality & Integrity: Demonstrated ability to handle confidential information with professionalism and discretion.
