Executive Assistant
Description Our privately held, family owned client has opened a new role in their organization for an Executive Assistant to support the C-Suite. Our client treats their employees like family and has a well-tenured team that takes great care of each other.Duties and Responsibilities Provide administrative support to ensure effective use of CEO's time and productive interactions with staff and clients. Handle wide range of administrative support tasks while working independently; manage projects, information, and people through to completion with minimal supervision Coordinate meeting preparations, follow-up tasks, and travel arrangements Reconcile expense reports and reimbursement of expenses. Prepare reports and/or special projects. Develop positive relationships at all levels of the organization. Use discretion, judgement, and knowledge of the organization to assist with company activities while maintaining confidentiality. Process information requests and perform project management duties that may include coordinating conferences, large events, and other company functions. Consistently respond to all correspondence in a timely manner; periodically monitor executive’s emails and respond on their behalf. Create and maintain accurate databases, contact records, and customer information; to include organizing and maintaining documents, filing, data entry, and answering multiple phone lines in a professional and courteous manner.Skills & Abilities Excellent time management, collaboration, personal effectiveness, integrity, flexibility, technical capacity, and composure in stressful situations. High level proficiency of the English language, both verbal and written, with a keen attention to detail. Proficient knowledge of Microsoft Office products. Understanding of databases/project management software. Proven track record of maintaining confidentiality. Effective interpersonal skills; exercising tact in dealing with both internal and external customers. Establish and maintain effective relationships, willingness to treat customers and coworkers in a manner consistent with the Company's mission and philosophy. Demonstrated ability to exercise sound judgment, initiative, and problem-solving skills.
