Program Coordinator
The Program Coordinator is a vital role within the IONS Experience & Engagement team, supporting functions across the organization in developing and delivering programs, convenings, and other engagement activities. This position involves many aspects of the program lifecycle, serves as primary customer support for program participants, registrants, and facilitators, and is responsible for the stewardship of program delivery technologies and services. Programs are delivered through various mediums, including webinars, online summits, workshops, email, printed material, conferences, and in-person events. This role also supports other engagement activities such as partnerships and IONS Community Groups and has the opportunity to participate in engagement strategy and planning.Success in this position will require deep collaboration, keen attention to detail, flexibility, and exceptional project management. A skilled and passionate Program Coordinator has the potential to play a significant role in the strategic development of IONS programmatic impact worldwide. This virtual (work-from-home) position requires the ability to work occasional evenings and weekends and occasionally travel and stay overnight for in-person events. This position reports to the Associate Director of Engagement & Partnerships.Participate in various elements of the program lifecycle flow, including but not limited to the following functions:Program ProductionSupport Program Leads in all aspects of the event life cycle, including planning, venue research, budget and cost estimates, food, lodging, travel, insurance, coordination, and technical needs. Coordinate Zoom and other technology needs for webinars, meetings, and online workshops.Prepare, launch, facilitate, and close registration for events.Monitor and facilitate the collaboration and speaker request process.Provide program presenters with details such as login links, program outlines, and schedules.Schedule and conduct rehearsals and provide technical support for presenters.Edit, process, and upload audio and video content.Assist with developing handouts, support material, and other program assets.Update program website content.Develop session follow-up resources and deliver them via email and the web.Act as the point of contact for program delivery technologies and service accounts (e.g., Zoom, Airmeet, Thinkific, and Stripe).Conduct timely and accurate metric documentation for program statistics and reporting.Online Participant SupportMonitor and respond to participant chats, hand-raising, Q&A requests, and other interactions during live sessions.Assist program participants who have basic technical/interface questions.Monitor, respond to, or re-direct email inquiries, phone calls, online forums, and social media channels related to program offerings.Respond to and process refund, scholarship, and discount requests.Prepare programmatic emails for communication with program participants.Coordinate email lists in conjunction with the communications team.OtherSupport processes relating to ongoing relationships with partner organizations.Conduct other engagement and organizational tasks as requested by the supervisor.PI253688538 Apply
