Job Summary

Candidate should be a professional who is self-motivated with a passion for great service to support the Managing Directors of Sales. This individual will handle administrative tasks, calendar management, data collection and market analysis, conference and meeting planning and management.

Education:

Associate’s degree or equivalent.

Minimum five (5) years office experience as an Administrative Assistant.

Essential Functions:

Perform advanced, diversified and confidential secretarial and administrative duties.

Manage executive’s calendar and schedule appointments.

Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance.

Arranges programs, events, or conferences including catering, issuing information, coordinating agenda and speakers, and controlling event budget.

Maintain complex spreadsheets for sales application, quote activity, market analysis, and costing.

Manage database to include inputting data, running queries, creating reports in Microsoft Access.

Create sales presentations in PowerPoint.

Weekly, monthly, quarterly and annual reporting for Sales and Marketing metrics along with data analytic support.

Manage special projects.

Maintain documentation on export compliance, terms and conditions, contracts and agreements.

Process expense reports and payment requests.

Attend meetings, take minutes and disseminate. Track action items and assist executives with accountability matrix.

Superior planning and organizational skills with ability to multi-task.

High level of proficiency with Outlook, Excel, Access and PowerPoint is a must.

Experience with SharePoint, Sales and CRM software a plus.

Effectively balance strategic thinking and execution in a fast-paced environment.

Professional correspondence drafting along with creating, reviewing and editing documents.

Excellent communication skills; verbal and written.

Ability to work independently with minimal supervision.

Ability to handle high-level, confidential matters with sensitivity, discretion and diplomacy.

Must be able and willing to work a flexible schedule, as required.

Will handle miscellaneous duties, as assigned.

Non-Essential Functions:

Familiar with foreign languages, a plus.

Essential Physical Requirements:

Able to see/read printed word and hear and speak on phone with telephone usage being 20-30% daily.

Able to sit for long periods and traverse the building.

Able to lift/carry/push/pull up to 30 pounds.

Able to bend, squat, reach, and use hands for fine manipulation.

Neat business-like appearance.

Possess a valid driver’s license and able to travel domestically and internationally by public transportation, i.e. plane, train, bus, etc.

Must disclose any surgical implants, pins, braces or other devices that could be affected by induction fields.
