Professional accounting office in Issaquah needs a temporary administrative assistant for 2.5 months: February 1 to April 15th, full-time schedule. Duties involve receptionist activities, calendar scheduling and management, data entry of financial data into proprietary software, assembling finished product deliverables, updating project management software, and outgoing mail management. Office is very fast-paced.
Duties:
Manage the front-desk and client visitors as first point of contact, welcome and make clients comfortable while waiting for appointments, and provide product deliverables.
Answer phone and route calls accordingly; provide status of deliverables to clients as required.
Contact clients with appointment reminders.
Use proprietary software to validate data entry after document scanning and utilize import processes for financial data.
Assemble finished product deliverables into mailings or packages for pick-up; manage postage and handling.
Utilize project management software to update project status based on intake, delivery, filing, etc.
Utilize electronic data storage software to store communications, signed documents, and other documents.
Qualifications:
3 years administrative office experience preferred.
Must be technologically proficient and computer savvy; ability to learn new software applications quickly is critical.
Must be proficient with Microsoft Word, Excel, Outlook, and Adobe Acrobat.
Ability to work with minimal supervision, and ability to proceed through tasks quickly and efficiently.
Must have excellent verbal and written English communication skills.
Must be detail-oriented and able to multi-task.
