Office Administrative Assistant Job Description

Duties:

Greet clients in the office and determine their service needs as soon as possible.

Answer incoming phone calls.

Coordinate client flow and inquiries, and schedule appointments for clients on the phone and in person.

Prepare Client Packets and maintain an ample supply of pre-made packets and other supplies.

Call prior-year clients to schedule appointments.

Make follow-up Customer Service phone calls.

Maintain the office filing system.

Maintain office appearance.

Receive, organize and file incoming materials such as client drop offs.

Record client file status in our workflow tracking system.

Handle client complaints professionally and refer clients to the individual who can assist them.

Performs most office administrative requirements.

Skills:

Excellent communication skills, both verbal and written.

Strong organizational skills with the ability to multitask effectively.

Attention to detail and accuracy in record keeping.

Familiarity with Microsoft Office and QuickBooks software.

Ability to work independently with minimal supervision.

Prior experience working in an office environment is preferred.

Bi-lingual English and Spanish is strongly preferred.
