We are seeking a highly adaptable and detail-oriented Administrative/Office Assistant to support the daily operations of our office. This role is essential in maintaining an organized and efficient workspace while overseeing building services and providing support across departments. The ideal candidate is resourceful, capable of handling varied responsibilities, and works well in a team-oriented environment.

THIS IS NOT A REMOTE WORK POSITION. JOB REQUIRES YOU TO BE IN OFFICE IN ONTARIO

Position Details:

Hourly Compensation: $20.00

Schedule: Monday to Friday, 7AM to 4PM

Key Roles and Responsibilities:

The Administrative/Office Assistant will manage office tasks, ensure smooth facility operations, and support coworkers as needed.

Office Administration:

o Perform daily office tasks, including scanning, filing, and organizing both physical and digital records.

o Maintain file cabinets to ensure documents are easily accessible and up to date.

o Monitor and replenish office supplies to ensure uninterrupted workflow.

Building and Maintenance Coordination:

o Manage building services such as HVAC, cleaning services, and other vendor contracts.

o Communicate with service providers and contractors to address facility needs and ensure timely maintenance.

o Handle minor facility issues, escalating larger concerns to appropriate parties.

Varied Responsibilities:

o Assist with diverse office needs, adjusting to new tasks and priorities as they arise.

o Support the team in organizing events, meetings, and other activities.

o Serve as a reliable resource for miscellaneous tasks and operational challenges.

Team Collaboration:

o Establish positive relationships with coworkers across all departments.

o Support departmental needs, facilitating clear communication and smooth operations.

Technical Skills:

o Use Microsoft Office applications (Word, Excel, Outlook) for tasks such as data entry and generating reports.

o Maintain proficiency with office equipment and basic troubleshooting as needed.

Skills Required:

Strong organizational skills and attention to detail.

Comfort with basic math and numbers, such as handling budgets, calculating totals, or organizing numerical data.

Ability to manage multiple tasks and prioritize effectively.

Excellent interpersonal skills, with a collaborative and approachable demeanor.

Proficient in Microsoft Office applications and open to learning new tools.

A proactive approach to problem-solving and task management.

Preferred Qualifications:

Experience in office administration, facilities coordination, or a similar role.

Familiarity with managing vendor contracts and building services is a plus.

Demonstrated ability to handle diverse responsibilities effectively.
