We are also a member of the international Linc Service group, which provides many of the tools, training, and support we use on a day-to-day basis. Our customer base consists of commercial, industrial, transportation, and institutional customers throughout Alaska.

Primary Functions

The Service Coordinator will serve as a liaison between the Service Department, Accounting Departments and our customers. They must be passionate about and take pride in providing excellent customer service. They must communicate with a high level of enthusiastic interest and concern for all needs.

Below is a list of functions that the Service Coordinator will be engaged in. This list is subject to change as the company grows:

Service Department

Build and maintain rapport and positive working relationships with field and office personnel to resolve problems, employ opportunities, and maximize profits.

Provide backup to the Dispatcher and assist as needed. Intelligently move manpower to fulfill planned and unplanned customer needs and auditing work orders.

Support field productivity through efficient scheduling and prioritizing efforts.

Provide work order status reporting to customers and management.

Maintain awareness of field activities and mechanical systems to ask appropriate questions and gather sufficient information for the timely and cost-effective dispatching of appropriate personnel, tools, and equipment.

Track status and order parts for jobs all while ensuring we find the best deal for our customers.

Understand the company’s service offerings and contractual agreements on a per customer basis.

Create purchase orders for our vendors.

Enter serviceable items and tasking for new agreements as needed

Maintain refrigerant tracking.

Informs manager of work progress, customer relations, field personnel relations, material administration, and other matters affecting service operations.

Track and maintain our vehicle maintenance for our fleet.

Track and maintain our tire changeovers for our fleet during seasonal changes.

Project Department

Book projects into the system.

Create purchase orders for our vendors.

Provides equipment, material, tools, and logistical support to the field to ensure maximum productivity.

Track status of equipment and parts ordered for projects.

Maintain awareness of availability of equipment and how utilized. Locate, purchase, and coordinate use of equipment to best meet needs of field personnel.

Apply and obtain MOA permits as needed.

Audit project work orders and update miscellaneous costs.

Attend project status meetings and update project status board.

Write warranty letters upon completion of projects.

Accounting Department

Must be able to have a basic understanding of accounting principles and assist when needed.

Maintain tool locker, log location, and use of all special tools assigned. Distribute and account for all special tools. Assist in the purchase of tools at direction of manager. Assign and maintain inventory of all tools by vehicle or service representative.

Assist in the Accounts Receivable process by emailing out invoices and contacting customers whose invoices are past due.

Prepare and post deposit, balance cash receipts to deposit, and post daily.

Assist in the Accounts Payable process by entering invoices to the system.

Sales Department

Recognize the relationship between good performance, customer satisfaction, and sales opportunities. Understands

sales objectives. Promote upgrades and new business by continuously reporting sales leads.

Office/Other

Receive and distribute mail.

Monitor the service and accounting department email and respond accordingly.

Answer and direct incoming calls all while ensuring there is an exceptional customer experience.

Communicate with all levels of the organization, internally and externally, in both verbal and written form.

Immediately advise manager of customer complaints to expedite resolution to ensure and maintain long-term relationships. Communicate resolution to customer.

Build rapport and positive working relationships with customers, vendors, and other outside contacts.

Build and maintain rapport and positive working relationships with the entire team; embrace ownership culture and teamwork.

Be able to comfortably use a computer (Word, Excel, Outlook, and all other programs that are deemed necessary).

Provide support for any special projects as assigned by the manager. These special projects, at the determination of your manager, may or may not become part of this position’s primary responsibilities.

See beyond present assignments and search for new and improved techniques, methods, and processes to upgrade or

facilitate work.

Order office supplies as needed.

The position is full-time and non-exempt with a highly competitive wage based on experience. We offer 100% employer paid medical, dental, and vision coverage as well as PTO and holidays.
