Administrative Assistant
Purpose
As an Accounting Assistant, you will play a vital role in supporting our accounting department by managing day-to-day financial tasks. This position is ideal for someone with a keen eye for detail, strong organizational skills, and a passion for numbers. You will work closely with our accountants and finance team to ensure the accuracy and efficiency of our financial operations.
Key Responsibilities
- Handle incoming calls, emails, and other communications, directing them to the appropriate team members
- Greet and assist visitors, ensuring a welcoming and professional atmosphere
- Manage and organize office activities, including scheduling meetings, appointments, and travel arrangements
- Prepare and edit correspondence, reports, presentations, and other documents
- Maintain office supplies inventory by checking stock and placing orders when necessary
- Assist with the preparation and coordination of company events and meetings
- Provide general administrative support to various departments as needed
- Maintain filing systems, both electronic and physical, ensuring all documents are organized and easily accessible
- Perform data entry and update records and databases
- Assist with HR-related tasks such as onboarding new employees and maintaining employee records
- Assist with accounts payable and accounts receivable processes
- Prepare and process invoices, receipts, and payments
- Provide general administrative support to the finance department
- Ensure compliance with company policies and accounting regulations

Desktop Computer Skills
Apple Mac experience
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Spreadsheets: Using a computer application to enter, manipulate, and format text and numerical data; insert, delete, and manipulate cells, rows, and columns; and create and save worksheets, charts, and graphs.
Presentations Using a computer application to create, manipulate, edit, and show virtual slide presentations.
Internet Navigating the Internet to find information, including the ability to open and configure standard browsers, use searches, hypertext references, transfer protocols, and send and retrieve electronic mail (e-mail).
Navigation Using scroll bars, a mouse, and dialog boxes to work within the computer's operating system and being able to access and switch between applications and files of interest.
Word Processing Using a computer application to type text, insert pictures, format, edit, print, save, and retrieve word processing documents.
What We Offer
Starting pay range $18.00 -$22.00
Monday - Friday from 8:30 am – 5:00 pm
