Working/Functional Title RECP Administrative PartnerPosition Summary Salary- $65,000 - $80,000- annually depending on experience. This position provides administrative support and may be asked to support other executive level personnel, either long-term or in a backup capacity including managing calendars and travel and expenses for those supported. This position collaborates with unit HR on departmental recruitment efforts (staffing requests, screening matrices, hiring, termination), compensation and classification, staff moves, and overseeing the department's performance excellence process for all personnel in the Real Estate Operations (REO), Planning, and the Design and Construction department. This position services as the account manager of the department business operations account.Percentage of duties:40% Administrative Support Functions: Assists with managing calendars and events for AVP of Real Estate & Capital Planning, Director of Real Estate Operations, Director of Design and Construction, and the Planning Team (Principal Planner, Campus Planner, University Engineer, Capital Renewal Manager & Coordinator, and Cost Estimator). Assist with travel and expenses as necessary. Attend all-staff meetings for REO as the main department10 administrative support. Manage working lunches/meetings/meet and greets for RECP (includes REO, Planning, and Design & Construction teams). Assists in parking management for events with adequate lead time. Supports and backs-up other executive level administrative support personnel.40% Human Resources Support Functions: Acts as HR liaison and manages all HR activities for Real Estate Operations (including off campus units KBS, HLG, Demmer, and Camp WaWaSum), Planning Team, and the Design & Construction Team. Maintains excellent relationships with off campus units, becoming a trusted partner in their human resource activities. Proactively seeks to help when needed, recognizing that support may be needed outside of the normal day-to-day. Maintains employee confidentiality and uses discretion when communicating sensitive information.10% Finance Functions: Serves as account manager of the department business operations account, responsible for budget management, monthly account reconciliation, maintains business records, facilitates transactions and resolution of transactional conflicts, and follows the Manual of Business Procedures. Collects, analyzes, and reports on critical information, including key performance indicators or other business data.10% Identifies ways to improve operational efficiency, provides process improvement recommendations, and generates and implements solutions within designated areas of responsibility. Leverages technology to research and solve business problems. Formulates, affects, interprets and/or implements management policies, procedures, or operating practices within areas of designated responsibilities.Regular attendance is required to meet business and customer needs.
