Executive Assistant
Description We are offering a contract to permanent employment opportunity for an Executive Assistant based in Downtown Dallas (100% on-site). This role is essential in coordinating activities and planning to ensure a smooth flow of information within our executive office. The Executive Assistant will work closely with high-level contacts, maintain executive calendars, and assist with project management as needed.Responsibilities: Serve as a central point of coordination for activities and planning within the executive office Respond efficiently and effectively to the needs of the President & CEO and COO Coordinate and address requests made of the executive team, liaising with internal and external contacts with discretion Review correspondence and draft appropriate responses or forward to relevant personnel Facilitate communication with the organization's leadership in a timely manner Provide proactive calendar management and maintain awareness of executive priorities Prepare executives for internal and external meetings, including report and presentation creation Track VIP relations and correspondence, managing contacts to ensure accuracy Understand and follow organizational policies and procedures for decision-making protocols Assist with project management and provide updates to executives on project status Submit expense reports on behalf of the President & CEO and COO Provide support to other members of the leadership team as needed Oversee compliance with organizational bylaws, policies, and schedules for the Board of Directors Coordinate Board meetings, prepare and distribute agendas, and handle action items from Board minutes to completion.Requirements Proven expertise in Calendar Management is necessary Exceptional Communication skills are required Experience with managing Conference Calls is expected Ability to handle Correspondence professionally is needed Proficiency in Coordinating Schedules is a must Prior experience with Scheduling Appt - Calendar Management is desirable Experience in general Scheduling is a requirement Familiarity with C-Suite level responsibilities is important Capability to handle Confidential Correspondence is required Proficiency in Microsoft PowerPoint is expected Ability to create and manage Presentation Decks is a must Experience in Event Planning is desirable Knowledge of taking Meeting Minutes and distributing them is necessary Ability to accurately Distribute Meeting Minutes is important TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
