Customer Service/Dispatcher
PRIMARY RESPONSIBILITIES:
Provide excellent customer service and greet visitors
Assisting customers with small parts purchases or fabrication requests
Receive and field phone calls, scheduling jobs via Service Titan and responding to emails.
Provide basic troubleshooting to customers
Maintain office area upkeep including requesting supplies as needed
Filing and maintenance of Accounts Payable
Customer data management throughout QuickBooks desktop, Intuit QuickBooks, and Service Titan including equipment updates
Coordinating service department scheduling and job preparation including reminders
Monitoring work order completion and follow ups
File packing slips by Purchase Order name in install job folders or Accounts Payable
Assisting with general filing and follow up as needed
Report discrepancies to direct superior for correction
Closing shop at the end of the day
ADDITIONAL RESPONSIBILITIES:
Accounts Receivables including invoicing, filing, and collections on completed service work.
Equipment registration and relevant data collection Rebate and PUD Ductless Heat Pump application processing
Service maintenance contract management (residential and commercial)
Create call lists for maintenance seasons
Update and maintain Reception Information book
Retrieve order, scheduling, or equipment updates utilizing any tools available as requested
Contractor submittals and year-end shop inventory financial reports
Assisting the Controller and install department as needed
