Position Overview

As an Administrative Assistant, you will play a vital role in ensuring smooth and efficient operations by managing records, preparing filings, and supporting clients with their administrative needs. This position requires a proactive, detail-oriented professional who enjoys solving problems and delivering exceptional service.

Key Responsibilities

Maintain Records: Input, update, and organize records for companies we set up and manage.

Prepare Corporate Filings: Draft and submit various filings with the State of New York and other states.

Invoice Preparation: Create invoices for company formations and annual services.

Legal Advertising: Arrange legal advertisements for LLC formations in New York State.

Annual Reporting: Contact and assist clients with filing annual reports in states like Delaware and California.

Mail Processing: Receive, process, and forward client mail as needed.

Team Support: Provide clerical and administrative support to co-workers.

Customer Assistance: Answer phone inquiries and provide exceptional customer service.

Qualifications

Education: High school diploma, GED, or equivalent.

Eligibility: Must be at least 18 years old and authorized to work in the U.S. under the Immigration Reform and Control Act of 1986.

Desired Skills and Attributes

Highly detail-oriented and accurate, especially in spelling and filing.

Proactive problem-solver with a focus on resolving tasks efficiently.

Team player who can also work independently.

Enjoys staying up to date with new procedures and industry standards.

Compensation

Starting salary: $50,000 - $60,000, commensurate with industry experience and professional expertise.
