Job Description: Executive Director

Brazos Valley Contractors Association (BVCA) Planroom + Copy Center

Position Summary:

The Brazos Valley Contractors Association (BVCA) Planroom + Copy Center is a non-profit organization dedicated to promoting and serving local commercial contractors. With over 160 members, primarily subcontractors, and a growing membership base, we provide essential services including job leads, printing of architectural plans, digital reprocessing, large-format printing, spec book printing, and more. We also publish a weekly newsletter advertising jobs that are bidding in Bryan/College Station and the surrounding areas, providing details on where, when, and who is bidding the job.

We are seeking a dynamic office team member in small three person office. Operate financial systems using QuickBooks Online, and ensure the delivery of high-quality services to our members. Participate in community engagement efforts, communication channels, and participate the development of our weekly newsletter highlighting new bidding opportunities.

Key Responsibilities:

1. Office operations:

o Participate in daily operations of the BVCA Planroom + Copy Center, ensuring efficient delivery of services to members and clients.

o Be a team member fostering a positive and productive work environment.

o Participate in production and delivery of architectural prints, large-format prints, digital reprocessing, and spec book printing.

o Maintain office equipment and supplies to ensure seamless service delivery.

2. Financial Management:

o Use QuickBooks Online to maintain accurate financial records, including accounts receivable/payable, payroll, and budgeting.

o Prepare and present monthly financial reports to the Board of Directors.

o Ensure compliance with non-profit financial regulations and reporting requirements.

3. Member Communication and Newsletter :

o Develop and distribute a weekly newsletter to members, advertising jobs that are bidding in Bryan/College Station and surrounding areas, including details on where, when, and who is bidding the job.

o Keep members informed about BVCA Planroom + Copy Center services and benefits.

o Engage with members to gather feedback and identify opportunities for service improvements. Participate in contacting 5 members per week by phone call or e mail.

4. Strategic Leadership:

o Participate in the Development and implement strategic plans to achieve organizational goals and enhance member services.

o Work closely with the Board of Directors to evaluate program performance and organizational progress.

5. Program Development and Community Engagement:

o Expand service offerings to meet the evolving needs of commercial contractors and the construction industry.

o Foster partnerships with local businesses, industry organizations, and government entities to enhance BVCA Planroom’s visibility and impact.

o Attend and represent the organization at networking events, industry meetings, and community functions.

6. Fundraising and Resource Development:

o Identify and pursue grant opportunities, sponsorships, and other fundraising initiatives to support the organization’s growth and sustainability.

o Develop compelling grant proposals and manage reporting requirements for awarded grants.

7. Policy and Compliance:

o Ensure compliance with all applicable laws, regulations, and organizational policies.

o Regularly review and update internal policies to reflect best practices and evolving operational needs.

Qualifications:

Bachelor’s degree in Business Administration, Non-Profit Management, Construction Management, or a related field (preferred).

Proven experience in office and financial management, with non-profit experience preferred.

Knowledge in QuickBooks Online and Microsoft Office Suite or willing to learn.

Excellent leadership, communication, and organizational skills.

Familiarity with the commercial construction industry and knowledge of large-format and architectural printing services or willing to learn.

Preferred Qualifications:

Experience in managing or operating a copy center or similar service-based business.

Knowledge of bid preparation, job site documentation, and construction-related printing needs or willing to learn.

Compensation:

Salary will be commensurate with experience and qualifications. Benefits package details will be discussed during the interview process.
