Job Summary:

The Real Estate Legal Assistant provides essential administrative and legal support for real estate transactions and land use transactions. This role involves drafting and reviewing legal documents, managing case files, and coordinating communications between clients, attorneys, and external parties. The ideal candidate possesses a solid understanding of real estate law, with specific experience in land use and commercial real estate, exceptional organizational skills, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities:

Document Preparation and Review:

o Draft, proofread, and format legal documents including contracts, leases, purchase agreements, and closing statements.

o Assist in the preparation and review of property-related documentation to ensure compliance with legal standards.

Case and File Management:

o Organize and maintain both electronic and physical case files, ensuring all records are up-to-date and accurately archived.

o Monitor deadlines for filings, submissions, and other legal proceedings.

Research and Coordination:

o Conduct preliminary legal research on real estate regulations, zoning laws, and title issues as needed.

o Coordinate with title companies, real estate agents, lenders, and other stakeholders to facilitate smooth transactions.

Administrative Support:

o Schedule meetings, property inspections, and court dates.

o Manage attorney calendars, correspondence, and client communications.

o Assist with general office duties such as answering phones and handling email correspondence.

Compliance and Communication:

o Ensure that all documentation and processes comply with local, state, and federal regulations.

o Maintain confidentiality and discretion when handling sensitive client information.

Qualifications:

Education:

An associate’s or Bachelor’s Degree in Legal Studies, Paralegal Studies, or a related field is preferred.

Experience:

o Prior experience as a legal assistant or paralegal is required, with a strong focus on real estate transactions.

o Demonstrated experience in land use and commercial real estate matters is essential.

Skills and Abilities:

o Excellent written and verbal communication skills.

o Strong organizational skills and meticulous attention to detail.

o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal research databases.

o Ability to manage multiple tasks simultaneously and meet strict deadlines.

o Strong interpersonal skills and the ability to work both independently and collaboratively.
