Receptionist
Our small family law firm in Tacoma is seeking a receptionist. Job duties include:
Client Interaction & Communication
Greet and welcome clients, ensuring a compassionate and professional demeanor
Answer and direct phone calls, responding to inquiries with sensitivity to family law matters (divorce, custody, child support, etc.)
Schedule consultations for attorneys and collect payment
Assist with intake and onboarding of new clients, including sending fee agreements
Send appointment reminders and follow up on missed appointments
Maintain confidentiality and handle emotionally charged client interactions with care
Case & Document Management
Scan and process incoming mail, documents and evidence from clients and save to appropriate folders
Print and send outgoing mail as requested
Support with other document related tasks as assigned
Administrative Support
Make reminder phone calls prior to scheduled appointments
Wash dishes in office sink
Stock and maintain coffee bar
Empty waste baskets in office daily
Purchase snacks for office weekly
Order office supplies as assigned
Ensure ink and toner replacements are available
Process client payments and issue receipts
Handle cash as directed (depositing into bank account, and making change for clients)
Calendar and Meeting Coordination
Schedule meetings for attorneys and staff
Maintain awareness of office usage and ensure conference room is prepared for meetings
Technology & Communication
Assist clients with setting up a laptop to attend court hearings remotely from our office
Manage and update the firm’s case management system with new client details and contact information
Confidentiality & Compliance
Ensure compliance with our high family law confidentiality standards
Provide clients with resources for counseling, mediation, or domestic violence assistance if needed
