What we’re looking for: We are looking to add a full time executive assistant to join our
growing team. The primary responsibility of this position is supporting daily activities and
coordinating projects/tasks. This is an exciting opportunity for someone who loves organization,
systems, and wearing multiple hats in a dynamic industry.
Key Responsibilities:
● Calendar Management: Manage a constantly changing calendar, prioritizing time-
sensitive matters and ensuring smooth scheduling
● Systems & Processes: Organize and create SOPs (Standard Operating Procedures)
for various aspects of the real estate business, including property flips and day-to-day
operations as well as track data and manage multiple projects simultaneously.
● CRM Management: Oversee and maintain the CRM to ensure smooth client follow-ups
and data tracking.
● Scheduling & Coordination: Schedule property showings, appointments, meetings and
travel while ensuring nothing falls through the cracks.
● Errands & Support: Run errands, handle administrative tasks, and ensure every detail
is accounted for.
● Problem-Solving: Anticipate needs, identify gaps, and implement solutions without
being asked.
● Reliability & Growth: Be the dependable backbone of the business, always looking for
ways to improve efficiency and organization.
● Administrative Support: Draft and edit emails, memos, and communications; handle
correspondence with clients, vendors, and team members.
● Social Media & Engagement: Assist with posting, monitoring, and engaging on social
media platforms.
Qualifications:
● Proven experience as an Executive Assistant or in a similar role.
● Exceptional attention to detail and organizational skills.
● Proficiency in creating and managing spreadsheets (Excel/Google Sheets) and
familiarity with CRM platforms.
● Ability to manage multiple priorities and projects simultaneously.
● A proactive, can-do attitude with strong problem-solving abilities.
● Excellent communication and interpersonal skills.
● Knowledge of the real estate industry is a plus but not required.
● BONUS: A real estate license, although not required.
