Executive Assistant
Global investment firm located in Midtown, Manhattan is seeking to hire a Temporary Executive Assistant to jump in ASAP providing immediate support to Portfolio Managers and Managing Directors of the Multi-Asset Credit Team. This position will work closely alongside 2 additional EAs on the team in addition to the Firm's admin team at large. Operating on a hybrid schedule with Fridays remote, the expectation is you may be called in on a Friday. Hours are 8:30am-5:30pm with reachability after hours required. For the right candidate, this role has the potential to become permanent down the line, in support of the Governing Partner.Responsibilities:Provide an elevated level of calendar management; effectively manage busy schedule - arrange, confirm, and prepare internal and external meetings and conference calls;Maintain and manage day-to-day business activities while also looking at the big picture; Must pay attention to detail, work independently, responsibly, and sometimes after hoursKeep Partner on time for meetings, calls, provide materials for meetings, set up and break down lunch meetings, greet guests including investors, be prepared for last minute changesCoordinate complex domestic and international travel arrangements which may include flights, car service, lodging, dinner reservations, and colleague/client meetings (multi-leg trip with different time zones/commercial and private)Manage heavy call volume - receive and screen calls in a professional manner, transfer and conference calls, transcribe voicemails, maintain call logs, and remind senior executive to return calls; Provide back-up phone support to teamLiaise with Partner's business development/investor relations team, work closely with investment professionals and admin team, and keep track of all internal requests; Coordinate Investor Committee CalendarReview, edit, and submit expense reports in a timely mannerTake initiative; Anticipate partner's needs, be adaptable to situations as they arise, own the outcome, have a can-do and positive approach, be a problem-solver, be approachable and knowledgeable as an extension of the partnerDevelop courteous and professional relationships with Partner's business advisors, frequent callers, colleagues, etc.Demonstrate an appropriate understanding of the industry as well as the Firm's business and policies and procedures to facilitate proper communication and outcomes; Discretion is keyManage personal work as needed including coordination of family travel, appointments, and various board eventsAbility to be discrete and maintain confidentiality when exposed to personal and business-related situations and information of a sensitive nature;Must be someone the Partner and others in the firm can trust and rely onTeam player able to work effectively with Partners, public credit team, admin team, and across all Firm's departmentsWillingness to perform reasonable tasks and have a no task is too small attitudeQualifications:5+ years of experience supporting a PM/Managing Partner one on oneFinance/Trading desk experience requiredProfessional and even keeled gatekeeper; well-balanced, logical, resourceful, flexible, self-directedAbility to multi-task and adapt to excel in a fast-paced work environment with multiple and changing prioritiesStrong organizational/project management skills; Detail oriented; Ability to keep competing affairs in orderDemonstrated ability to think and plan, present well thought out reasoning, and manage time effectivelyProven ability to prioritize/determine importance of requests, and respond and schedule accordinglyExcellent verbal and written communication skillsSkilled in Microsoft Office; Salesforce/Workday experience a plusBeacon Hill is an equal opportunity employer and individuals with disabilities and/or protected veterans are encouraged to apply.California residents: Qualified applications with arrest or conviction records will be considered for employment in accordance with the Los Angeles County Fair Chance Ordinance for Employers and the California Fair Chance Act.If you would like to complete our voluntary self-identification form, please click here or copy and paste the following link into an open window in your browser: https://jobs.beaconhillstaffing.com/eeoc/Completion of this form is voluntary and will not affect your opportunity for employment, or the terms or conditions of your employment.
