Professional Receptionist/Administrative Assistant

We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential for ensuring smooth operations within the office and providing excellent customer service to clients and visitors. The ideal candidate will possess strong clerical skills, be proficient in various software applications, and demonstrate exceptional communication abilities.

Duties

Greet clients and visitors warmly and direct them to the appropriate personnel.

Manage incoming phone calls with professionalism, ensuring effective phone etiquette.

Maintain organized filing systems for both physical and digital documents.

Utilize QuickBooks for basic accounting tasks.

Provide clerical support including data entry, scheduling appointments, and managing Birthday/Anniversary calendars.

Assist in customer support by addressing inquiries and resolving issues promptly.

Collaborate with team members to ensure efficient office operations.

Perform other administrative tasks as needed to support the office environment.

Order front office supplies and keep inventory of stock

Answering screening and forwarding incoming phone calls

Receiving and sorting daily mail

Keep updated records of office expenses and costs

Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

Skills

Proficiency in QuickBooks and Microsoft Office (Excel is a must)

Strong organizational skills with attention to detail in managing files and documentation.

Excellent customer service skills with a focus on client satisfaction.

Effective phone etiquette and communication skills, both verbal and written.

Ability to work independently as well as part of a team in a fast-paced environment.

Bilingual abilities are a plus, enhancing communication with diverse clientele.

Previous experience in clerical or administrative roles is preferred but not mandatory.
