Overview

I am an Independent Registered Investment Advisor, Pension Plan Consultant and Life and Annuity Insurance Agent. I have been practicing 35 years. My current Assistant is retiring at the end of February. I would very much prefer a person who lives in or around Clearwater FL who can pick up and sort the mail. Otherwise, work at or my office, your choice. The hours are flexible subject to discussion. My current Assistant works 3 days per weak, Tues., Wed, Thurs.

I need a Business and Personal Administrative Assistant, 3 Days per week.

Experienced in Financial Services, such as Investment, Life Insurance, Annuities, or Pension Plans.

Work Location: Live in the Clearwater, FL area. Can work in office or remotely.

Duties Summarized

Managing email correspondence for executive, including notification of critical issues, filing email attachments and deleting extraneous and unsolicited emails.

Basic banking and bookkeeping tasks in Quickbooks 2017 including paying and recording bills, bank account maintenance, collecting and recording commission fees, preparing invoices and managing accounts receivables.

Firm’s documentation, including filing and maintaining electronic document files, picking up and sorting office mail, mailing documentation, drafting letters and other correspondence.

Project support such as assisting with preparing financial reports and updating spreadsheets.

Handling various insurance agency websites including uploading and downloading special files and reports. May include performing follow up or resolution of tasks with agency contacts.

Checking executive’s office voicemail.

Required Skills:

Computer proficiency in Internet, Outlook, Microsoft Office Suite (Word, Excel), Adobe (pdfs) and QuickBooks

Ability to multitask as changing needs (management and client’s) require reprioritization

Detail-oriented with a high level of accuracy

Excellent communication skills, both written and verbal

Ability to handle confidential information

The duties and tasks of this position are varied and occasionally can be complex. Financial experience or knowledge is a plus.

Communication management: Answering phone calls, directing inquiries, and managing email correspondence.

Document preparation: Drafting letters, memos, reports, and presentations.

File maintenance: Organizing and updating physical and electronic filing systems.

Data entry: Updating spreadsheets and databases with relevant information.

Project support: Assisting with project management tasks as needed.

Job Type: Part-time

Pay: $22,500.00 - $25,000.00 per year

Expected hours: 18 – 24 per week
