Your Role.

The Bear Creek School is currently seeking to add a member to our team! The Executive Assistant furthers the mission of The Bear Creek School by serving as the first voice of the head of school and Vice President for Academic Affairs offices for internal and external stakeholders in all avenues (in person, phone, email, etc.), including those of a highly confidential nature, and effectively communicates and briefs leadership members on urgent matters. The Executive Assistant is responsible for creating and maintaining an organized workflow in the offices of the President and Headmaster, Vice President for Academic Affairs, and the Board of Trustees.

We are seeking an individual who will:

Provide Administrative Support

Provide administrative support to the President and Headmaster, Vice President for Academic Affairs, and Board of Trustees including:

o Manages all scheduling and coordination of calendars for the President and Headmaster and Vice President for Academic Affairs. This includes keeping President and Headmaster and the Vice President for Academic Affairs on schedule throughout the day and making sure they are prepared for meetings with relevant documents, materials, and planning time.

o Answer, screen, and route phone calls as appropriate.

o Manage and respond to appropriate inquiries of the President and Headmaster on their behalf and represent the President and Headmaster when appropriate.

o Schedule and prepare meeting agenda and packets for the Board of Trustees meetings.

o Maintain database and records of Board of Trustees meeting minutes and resolutions and other governing documents and act as administrator for the online board portal.

o Arrange travel details and conference registration for President and Headmaster and Vice President for Academic Affairs

o Transcribe drafts, proofread, and revise correspondence, memos, agendas, and meeting minutes.

o Maintain various SharePoint sites and document libraries.

o Complete monthly expense/credit card reports for President and Headmaster, the Vice President for Academic Affairs, and Amazon accounts and manage expense reconciliation.

o Coordinate and order gifts on behalf of President and Headmaster and Vice President for Academic Affairs

Manage Projects

Support the President and Headmaster and Vice President for Academic Affairs in the coordination of various projects and activities, including managing actions, setting timelines, assisting with schedule management, and monitoring progress of projects.

Assist with special projects as assigned by the President and Headmaster, Vice President for Academic Affairs, and Chief of Staff

Manage process of updates and reviews to official policy and procedure library

In partnership with the Chief of Staff, coordinate logistics and planning for (including setup planning, meals, technology needs, materials) President and Headmaster Office Events

Plan and support events as needed and assigned by Vice President for Academic Affairs

Other duties as assigned by the President and Headmaster and Vice President for Academic Affairs

Complete Additional Responsibilities

Provide editing and proofreading to other departments as requested by the President and Headmaster and Vice President for Academic Affairs.

Monitor various President and Headmaster and Vice President for Academic Affairs budget allocations.

Manage school uniform program and vendors.

Manage and maintain renewal and users for all Associations/Accreditations/Memberships.

Required Experience and Education:

3+ years of C-suite level administrative support experience preferred.

Prior experience in a school setting preferred.

Associate’s degree preferred.

High school diploma required.

Work with the school’s integrated data-based software packages.

Flexible and resourceful with strong time-management skills

Expertise with Microsoft Office 365 products, ability to initiate learning, and incorporate new technology as needed.

Currently holds CPR/AED/First Aid Certification (with Epinephrine Auto Injector supplement included) or arrangements made to obtain certification within 90 days of employment start date.

You must meet the following physical requirements.

Job entails sitting for extended periods of time at a desk in front of a computer.

Limited lifting of 20 pounds or less may be required.

Work in a traditional climate-controlled office environment with occasional visits between campus buildings, requiring exposure to outside elements.
