Position Overview:

We are looking for a highly organized and proactive Office Manager to oversee daily administrative operations. The ideal candidate will have at least 3 years of office management experience and possess strong leadership skills. This role is vital in ensuring efficient office functionality and maintaining effective communication with vendors, employees, and clients. Responsibilities:

Manage office staff

Assign administrative tasks fit to each staff member

o Answering and returning phone calls with a professional demeanor

o Perform clerical duties such as filing, data entry, and documentation preparation to support office functions.

o Permitting

o Inspections

o Manage vendor relationships and ensure contracts are up to date.

o Maintain and organize project folders for easy access.

o Coordinate staff travel arrangements.

o Manage invoicing for projects and work with project management and accounting software.

o Handle company/corporate insurance certificate processing.

o Track and file Notice to Owner and lien waivers.

Organize & Implement office procedures

Cross train each employee on all administrative tasks

Coordinate with staff and clients to ensure seamless communication and project execution.

Manage the onboarding process for new clients, employees, and vendors.

Provide general accounting support, including accounts payable and accounts receivable.

Administer project close-out procedures and ensure all necessary documents are collected and organized.

Requirements:

Exceptional customer Service

Experience in office management, preferably in a construction or similar industry.

Exceptional written and verbal communication skills for effective interaction with staff, vendors, and clients.

Strong organizational and scheduling skills with the ability to prioritize tasks effectively.

Leadership mentality

Experience with accounts payable, invoicing, and general accounting practices.

Familiarity with project close-out administration.

Knowledge of construction-specific administrative tasks such as Notice to Owner, lien waiver filing, and permitting.
