HVAC Company Seeks Admin Assistant
We are seeking an Administrative Assistant to join our team! You will perform clerical, financial dministrative functions in order to drive company success.
Responsibilities:
Invoicing/AR- convert estimates from Service Titan to invoices. Ensure invoices are properly filled out and technicians are aligned in data entry.
Collections - follow up with customers and to meet weekly cash flow collections goals
A/P- Scan incoming bills and upload to Quickbooks or Bill.com. Input Purchase Orders and Vendor bills into their respective platforms to ensure accurate job costing
Receive and send correspondence to vendors, general contractors and subcontractors - related to incoming orders, billing, estimates and submittals
Greet and assist onsite guests
Answer inbound telephone calls - align A/P and A/R records as needed
Develop and implement organized filing systems - data entry and accuracy.
Perform all other office tasks and assist VP as needed
Qualifications:
Previous experience in HVAC/ mechanical contractor
Strong tech skills - Office 365, Google Suite, E-mail, and general use of iPad - we are tech forward
Ability to prioritize and multitask
Excellent written and verbal communication skills
Strong attention to detail
