Job Summary:
We are seeking a detail-oriented, upbeat, and highly organized Office Administrative Assistant to join our dynamic team. In this role, you'll be leading our office operations, providing essential support across a variety of tasks. If you enjoy keeping things running smoothly, we want to hear from you. Key Responsibilities:
· Be the first point of contact for phone calls, messages, and inquiries – handling them with professionalism and a friendly attitude.
· Manage scheduling, meetings, appointments, and travel arrangements.
· Keep our office filing systems organized and up-to-date (both paper and digital).
· Prepare and edit reports, presentations, and correspondence.
· Handle incoming and outgoing mail and packages with efficiency.
· Keep office supplies stocked and organized – you’ll be the go-to for our team’s needs.
· Ensure the office remains clean, tidy, and inviting including the kitchen and break areas.
· Help with screening new client calls and hosting/receiving clients and visitors.
· Support our bookkeeping by assisting with invoice processing and expense tracking.
· Get involved with marketing efforts, including proposals, social media (Instagram), and public relations initiatives.
· Maintain and update our website to keep it fresh and engaging.
· Run errands like trips to the post office, bank, or picking up lunch – making life a little easier for everyone.
· Assist with personal and business tasks for the owner.
· Manage office equipment and coordinate with vendors.
· Perform general clerical duties like photocopying, scanning, and faxing.
· Safeguard confidential information with integrity and discretion.
· Take on special projects and any additional tasks that come your way.
Qualifications:
· High school diploma (or equivalent) required; additional certifications in office management or admin assistance are a plus.
· Bring a joyful, energetic attitude to our office.
· Prior experience as an office assistant or administrative assistant is a big plus.
· Strong organizational skills with the ability to juggle tasks and prioritize effectively.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office tools.
· Comfortable working both independently and as part of a team.
· Strong attention to detail and problem-solving skills.
· Friendly, professional, and approachable – with a knack for making things run smoothly.
· Basic bookkeeping or accounting knowledge is a plus.
Working Conditions:
· Part-time position (12-16 hours per week).
· Flexible office hours to fit your schedule.
· This is an in-office position.
