Position Overview:
Hawaiian Smiles Orthodontics is looking for an enthusiastic, motivated and personable Orthodontic/Dental assistant! We are a multi-office location with multiple doctors on 2 Hawaiian islands (Oahu and Big Island).This position offers the flexibility of both in-office and remote work, with the opportunity to contribute to the smooth running of our orthodontic practice. The successful candidate will assist the orthodontist with patient care, administrative tasks, and treatment coordination, clinical care (both in office and at home).

Key Responsibilities:

In-Office Duties (Part-Time):

Assist the orthodontist during patient exams and procedures, including preparing and sterilizing instruments and equipment.

Take and develop X-rays, impressions, and photographs as needed.

Educate patients on oral hygiene techniques, braces care, and post-treatment instructions.

Prepare patient charts and update records accurately in the system.

Ensure all office areas are clean, organized, and compliant with health and safety standards.

Manage appointment scheduling, including reschedules, cancellations, and follow-ups.

On-board patients with Virtual care and coordinate in office and virtual visits

Provide patient comfort and assist with managing anxiety and expectations and trajectory during treatments.

Coordinate care and appointments virtually for all observation, New patients and any patient requesting virtual care

Request, manage and upload all digital photos for virtual care to communicate effectively with Treatment coordinator/Financial Coordinator and Orthodontist

Phone call discussions with all New Patients and Observation patients

Remote Duties (Part-Time):

Assist in maintaining and managing patient records electronically, ensuring they are accurate and up-to-date.

On Board patients virtually with virtual home care and coordinate virtual and In office care

Ensure Insurance photos are coordinated with to the Financial coordinators (not responsible for verification or submission or collection)

Ensure New Patient and observation paperwork is current and submitted/uploaded

Communicate with patients via phone or email to answer questions or provide treatment updates.

Support marketing efforts by creating content for patient newsletters or social media.

Uploaded YouTube videos to send to patients on schedule according to stage of treatment

Review and update patient treatment plans and documents remotely, ensuring proper communication with the in-office team.

Qualifications:

High school diploma or equivalent (required); dental assistant certification or relevant training preferred.

Previous experience as an orthodontic assistant is highly desirable and required for the at home monitoring.

Knowledge of orthodontic procedures, instruments, and equipment.

Familiarity with dental practice management software (Dolphin) and electronic health records (EHR) and/or willing to learn

Strong communication and interpersonal skills to engage with patients and the orthodontic team.

Occasional personalized video to patients/Parents via in office communication text system

Occasional Facetime or Zoom with patients/parents

Outgoing and personable personality to connect with patients virtually and over the phone

Ability to work independently and manage time effectively when performing remote tasks.

A professional demeanor, punctuality, and reliability.

Comfortable using technology for remote work and patient communication.

Desired Skills:

Bilingual (Spanish or other languages) is a plus.

Excellent organizational skills and attention to detail.

Ability to work in a fast-paced environment with shifting priorities.

Ability to handle sensitive patient information confidentially.

Schedule:

In-office work required for a portion of the week, with flexibility for remote work. In office training and remote work will start after training is completed in office.

Monday-Friday work schedule, No weekends or federal holidays.

TRAVEL (all expenses paid) with extra pay for the day required (minimum 1-2 days a week)

Competitive hourly wage based on experience ($32,000-$52,000+)
