We are a real estate company specializing in property management and real estate investments, seeking a highly skilled and detail-oriented Administrative Personal Assistant to support the Managing Broker and overall company operations. This role is ideal for a professional who can efficiently handle legal, financial, and operational tasks while also managing the company's social media pages and website.

Administrative Support: Assist the Managing Broker and executive team with day-to-day tasks.

Calendar & Meeting Management: Schedule appointments, coordinate events, and manage agendas for the Broker.

Document Preparation: Create, edit, and format documents using Microsoft Word, Excel, and PowerPoint.

Financial Tracking: Manage invoicing, expenses, and QuickBooks for accurate financial reporting.

Real Estate Transactions: Assist in contract preparation, MLS listings, compliance tracking, and deadline management.

Office Organization: Maintain company records, legal documents, and operational reports for smooth business operations.

Communication Management: Screen emails and phone calls, responding professionally and efficiently.

Social Media & Website Management: Update social media pages and website content, ensuring engagement and consistency.

Marketing Support: Assist in online advertising, property listings, and brand visibility efforts.

Confidentiality: Handle sensitive business matters with discretion and professionalism.

Role Overview – Personal Assistant to the Managing Broker

As a Personal Assistant to the Managing Broker, you will play a vital role in ensuring the Broker’s daily activities and strategic goals align with company operations. Your duties include:

Scheduling & Coordination: Organizing appointments, client meetings, and investor interactions.

Business Operations: Supporting legal, financial, and contract management processes.

Communications: Drafting and managing emails, reports, proposals, and agreements.

Event Planning: Coordinating networking functions and industry-related events.

Digital Presence Management: Updating property listings, running social media campaigns, and maintaining the website.

Financial Oversight: Tracking expenses, processing invoices, and managing QuickBooks records.

Compliance & Confidentiality: Ensuring all company records meet legal and operational standards.

Requirements:

2-5 years as an Executive Assistant or Administrative Assistant required

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

QuickBooks experience (basic bookkeeping and financial tracking).

Experience managing social media pages and websites (basic content updates and engagement tracking).

Strong organizational and time-management skills with the ability to multitask effectively.

High character and integrity, trustworthy

Excellent written and verbal communication skills with attention to detail.

Previous experience in real estate, property management, or office administration preferred.

Ability to work independently, prioritize tasks, and maintain professionalism in a fast-paced environment.
