Executive Assistant to 2 Partners, Credit Investment Team
Billion-Dollar Private Equity Firm in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to join its Credit Investment Team, which includes primary support for 2 Partners and additional light support for 2-3 others. The EA will act as a thought partner and right hand to direct reports. Responsibilities will be complex and require the utmost level of discretion and independent judgement. Candidates must have a minimum of 3-5+ years of applicable high-level executive administrative experience, ideally within financial services (however, open to candidates coming from a busy, corporate team environment), and a Bachelor’s degree is required/strongly preferred (No Jumpy Resumes!). They should be extremely polished and professional, even-keeled, accustomed to working in a fast-paced environment, possess exceptional organizational, interpersonal, and communication skills (both verbal and written), and strong proficiency in Microsoft Office Suite. This person should be able to keep the Executives on track, there will be a fair amount of travel coordination, and the position will involve mostly EA duties, with a small amount of PA work. Salary depends on experience (120-135k base) plus discretionary bonus eligibility (all in 150-160k), comprehensive benefits, free lunch daily in the office, etc.
Hours are 8:30am-5:30pm, with flexibility. Hybrid work schedule (4 days in office / 1 day remote).
Responsibilities:
Provide administrative support to senior executives and their team. This involves determining priorities independently, making decisions with little or no guidance, short-term and long-term planning, handling confidential information, exercising discretion, and understanding complex business concepts.
Communicate effectively to ensure executives, internal clients, and external constituencies are informed and updated about meetings, events, etc.
Screen, answer, and direct phone calls. Proactively manage detailed and demanding schedules and Outlook calendars; schedule calls, meetings, conferences, restaurant reservations, personal obligations, board meetings, etc.
Coordinate heavy and complex domestic and international travel arrangements and detailed itineraries/logistics, including flights, hotel accommodations, ground transportation, etc.
Coordinate internal and external meetings and events for small and large groups (including accommodations, transportation, catering, etc.).
Negotiate and execute contracts on behalf of senior executives/the firm.
Process monthly expense reports accurately and in a timely fashion.
Assist with research/various ad-hoc reports. Prepare and review materials as needed.
Function as part of dynamic, collaborative administrative team: One team philosophy. This includes providing backup coverage for other administrative assistants.
Provide occasional personal assistant support to executives (i.e., personal appointments, medical claims, personal travel, etc.).
Requirements/Qualifications:
Minimum 3-5+ years of applicable high-level executive administrative support experience. Prior experience supporting senior executive(s) in Finance or related industry
Bachelor’s Degree required/strongly preferred.
Strong team player who can work independently but also function as part of a dynamic and collaborative team of admins across global offices.
Attention to detail, accuracy, and follow-up.
Superior interpersonal skills, proven ability to influence, develop relationships, and work with a diverse group, including key external portfolio companies, peers and constituents as well as senior level management.
Highly developed written and verbal communications skills.

High proficiency with MS Office suite skills. Experience in Concur a plus.
