Project Coordinator
We are looking for a Project Coordinator to join our team, starting part-time and transitioning to full-time by fall. This is an in-person position. We are in Rocklin, California
Description:
The Project Coordinator supports the project management by overseeing the execution of engineering projects during the county permitting phase. This position involves coordinating various activities and processes related to the project and is responsible for managing daily tasks and providing support for routine administrative duties.
Duties and Responsibilities (included but not limited to):
1. Developing detailed project timelines, assigning tasks to team members as directed by the Principal or Project Manager, and monitoring progress against the schedule. Planning, coordinating, and organizing communication flow between NGEC, counties, subcontractors, and clients.
2. To onboard new clients, draft proposals and budgets for management review. Once finalized, submit the proposal to clients along with all supporting documents. This includes invoicing and the collection of payments from clients.
3. Organizing project folders and collecting data for engineers. Provide administrative support to the engineering team, management, and subcontractors to ensure effective communication.
4. Updating project billable hours, identifying potential cost overruns, and proposing corrective actions to remain within budget constraints. Communicating this information to the Project Engineer (PE) and the Controller while preparing the necessary documentation for billing.
5. Coordinating communication among jurisdiction counties, including managing permits and inspections for clients and subcontractors upon request.
6. Manage the office and project calendar, including meetings, preparing agendas, distributing meeting minutes, confirming county appointments, and following up on action items.
7. Serves as the main point of contact for clients, addressing their concerns and keeping them informed about the progress of billables and Change Orders. Prepares and sends client invoices, along with follow-ups for collections.
8. To perform any other related tasks or responsibilities as assigned and needed.
