Department/Unit:General SurgeryWork Shift:Day (United States of America)Salary Range:$47,921.64 - $71,882.46The Residency Coordinator assists the program director and assistant program directors in the management of a large residency program by ensuring accreditation standards are met, educational activities which support the curriculum are established, departmental policies are enforced, and recruitment strategies are implemented so that a highly successful residency program is maintained. Exercises initiative, critical thinking skills, and independent judgment in communications with faculty and residents, as well as discretion in management and communication of confidential information.Essential Duties and Responsibilities:
Understands and synthesizes Accreditation Council on Graduate Medical Education (ACGME) Common Program Requirements to ensure the program is meeting all required standards for accreditation and initiates solutions in instances where required standards are not being met.
Ensures resident credentials are met, educational activities are established, departmental policies are created and enforced, and appropriate resident evaluation process is followed.
Responsible for the overall management of the residency, including estimating and monitoring residency program expenses, creating and maintaining departmental files, preparation of institutional forms and requests as appropriate (i.e.: registrations, travel reimbursements, educational books and materials, etc.)
Collaborates and innovates to come up with improved mechanisms for efficiency within the program, often using technology.
Ensures that departmental schedules, reports, and correspondence are prepared and delivered in a timely manner.
Facilitates resident recruitment by preparing applications for review, communicating with applicants, creating and distributing interview schedules, and coordinating virtual interviews using recruitment software including Thalamus, ERAS, NRMP, etc.
Ensures that confidential files and records of current and former residents are maintained indefinitely and maintains the files of interviewed applicants for a period of ten years. Assists in the preparation of appropriate letters of recommendation, verification, and reference requests for current and former residents and medical students.
Collaborates with outside facilities with regards to resident rotations that take place outside of AMHS.
Assists the program director, assistant program director, and chief residents in planning the monthly conference schedule, In-Training Examination, rotation schedules, and mock oral boards.
Proctors resident exams at least once per year, occasionally on a Saturday.
Assists the program directors in meeting the current standards established by the Accreditation Council on Graduate Medical Education (ACGME), the American Board of Surgery, and updates program and resident information to the ACGME, and AMA GME Track, and other databases annually.
Assists residents in becoming acclimated to the program via planning of orientation sessions, and preparation of orientation materials for incoming residents, and acts as liaison between the Graduate Medical Education office and residents at every level.
Prepares and updates appropriate schedules, evaluations, and monitors procedure logs through New Innovations and ACGME Case Logs.
Collects and prepares documents electronically for ACGME site visits. Ensures appropriate data, files and other required and pertinent information is available at the time of the site visit.
Assists in planning and coordination of the Resident/Fellow Graduation and Awards Banquet.
Develops, updates, and maintains all aspects of the residency program including evaluations, schedules, conferences, portfolios and curriculum in New Innovations, the residency software management suite.
Compiles and distributes resident on-call schedules.
Takes and distributes meeting minutes.
Additional tasks as assigned.
Minimum Qualifications:
Associate’s degree required
Bachelor's Degree preferred
3-5 years’ experience with demonstrated progressive responsibility required
Excellent written and verbal communication skills required
Proficiency in Microsoft Word, Outlook, Excel, Nitro PDF Pro, & Power Point required
Exceptional organizational skills with attention to details, experience in coordinating complex schedules, maintaining confidentiality, and exercising independent judgment required
Experience in web-based meeting software (i.e.: MS Teams, Webex) required
Experience in New Innovations, Qualtrics, ACGME, ERAS, Thalamus, etc. are a plus
