We are looking for aAdministrative Assistantto join our People team.The Administrative Assistant will be responsible for handling the office logistics and reception tasks for our Greystone offices, providing executive support, and assisting the People team with administrative tasks. This role will be fully onsite out of our office in Denver, Colorado.
Additional responsibilities include the following:
Provide executive support to the President by managing complex calendar scheduling, coordinating meetings and handling a wide range of administrative tasks
Assist the People team with various HR tasks, including onboarding and offboarding procedures, administer the Greystone rewards program, and assisting with HR related tasks and projects as needed
Serve as the welcoming face of Greystone in Denver, expertly managing all reception duties, including greeting visitors, handling calls, and coordinating package deliveries, and creating a warm and welcoming atmosphere
Support daily office operations in Denver by maintaining a regular presence with shift options of 7:30 AM or 8:00 AM, ensuring the office is opened and closed appropriately
Manage the logistical needs of Greystone's various locations, by maintaining office tidiness and organization, proactively anticipating and addressing any maintenance, supply, and organization needs
Organize and lead engaging, face-to-face team events that build camaraderie and promote connection between teams
Arrange and plan travel arrangements for team members, ensuring efficiency and cost-effectiveness by coordinating flights, accommodations, and transportation, considering individual preferences and travel requirements
Build trust and credibility by proactively creating exceptional experiences for all, demonstrating reliability and professionalism in every interaction
Required Experience, Skills and Attributes
1+ years of experience in an administrative support or customer service role
Experience planning and executing events
Excellent communication skills, both verbal and written
Excellent organizational skills with a strong attention to detail
Proficiency in MS Word, MS Excel, and MS Outlook
Ability to maintain confidentiality and handle sensitive information
Positive attitude, team player, and a passion for creating a great team member experience
A proven ability to manage multiple tasks and meet deadlines
Ability to work in a directed autonomy environment
Ability to learn from experience
An empathetic approach to team member problems
A proactive and self-starter attitude
A passion for solving problems
Receptive to candid feedback
Preferred Experience, Skills and Attributes
Associate or bachelor’s degree in human resources, Business Administration, or a related field
Entry level knowledge of HR principles, practices, and legal compliance
Experience working in a HRIS, preferably Workday
The motivation to learn independently

An aptitude towards service

Physical Requirements
Work is primarily sedentary but requires exertion and lifting of up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects. Occasional crawling, kneeling, and squatting. Repetitive use of computer (keyboard/mouse), and phone. Visually inspects, prepares, and analyzes data & figures; views computer constantly. Occasional travel (car). Occasional exposure to outdoor environmental conditions as a result of travel.
