POSITION PROFILE (Job Summary)
The Parts and Inventory Specialist is responsible for managing incoming and outgoing shop parts to guarantee the availability of parts to maintain our fleet. This will include performing physical counts of parts included in inventory, organizing the parts in the correct bin location, ordering parts and reporting to management inventory balances, shortages, defective items and price lists. In addition to inventory management, this position requires a highly motivated person with a great attitude who can work in a team environment.
Essential Job Duties and Responsibilities
Compile and maintain inventory parts records of quantity, type and value
Receive and stock inventory parts timely and accurately
Enter the disbursement of parts, mechanic time and services performed from work orders to the general ledger system daily
Work with the shop foreman and management to determine supply needs, quality and delivery requirements
Source price quotations and prepare purchase orders
Process purchase orders within purchasing authority
Expedite and follow up with suppliers to schedule deliveries, resolve material and value discrepancies, resolve outstanding and overdue delivery of orders, warranty claims and damage and return of materials
Maintain the accuracy of the inventory listing including parts, cost, max/min re-order points, part description, obsolete parts, etc.
Perform physical inventory counts and research discrepancies between the physical quantity and recorded quantity
Responsible for providing the accounting department support for inventory management and controls
Assist in the management of fleet transponders
Balance mechanic timecards to work orders
Enter vendor invoices
Serve as backup on phones as needed in the shop
Qualifications (Education, Experience and Certifications)
At least 2 years of previous supply chain and/or inventory experience
Bi-lingual Spanish a plus

Microsoft Office programs including Outlook, Excel and Word
Computers, data entry, output, etc.
Mechanical mindset with an understanding of facilities and vehicle maintenance

Ability to secure and maintain a driver’s license valid in the State of Oregon, or an acceptable alternative means of transportation

This position operates in a professional office environment. This role routinely uses standard office equipment such as laptops computers, photocopiers and smartphones. This would require the ability to lift files, open file cabinets and bend or stand as necessary.

Little to no travel is expected for this position.
This is a full-time position. Days and hours of work are Monday – Friday 7:00 am – 4:00 pm. Occasional evening and weekend work may be required as job duties demand.
