Property management firm seeking residential on-site manager
We are looking for a responsible and dependable on-site apartment manager for a residential, non-smoking 24-unit building in the Sunset District. The position requires approximately 7 hours per week (28 hours per month). In return for hours worked, the owner will provide a studio apartment. Parking is available.
Responsibilities
1. Handle routine pre-printed correspondence to tenants, using Vertex Property Group approved format, for delinquent rents, parking violations, etc. Provide copies to the Portfolio Manager.
2. Take written work order requests, inspect the problem, verify the problem on the work order request accurately describe the problem. Monitor completion time and quality of work. Report to Portfolio Manager. Tenant to notify Resident Manager within 4 days. If the work is not completed on a timely manner, notify Portfolio Manager.
3. Handle inquiries, requests, and/or complaints from tenants in a timely manner. Maintain cordial relations.
4. During certain designated times, meet contractors, inspectors, etc. to give access, to building and units as needed. Be aware of outside contractors performing work in the building.
5. Report any hazards or deficiencies to Portfolio Manager. Any breaches in security must be reported immediately. BE OBSERVANT.
6. Service of 3-day notices and follow-up with written proof of service on all notices to tenants sent by Vertex Property Group.
7. Distribution of correspondence/memos to tenants, with copies sent to Vertex Property Group. Prepare proofs of service on all material served to tenants.
8. All calls must be promptly returned during work time.
9. Incident reports are to be written immediately and called into the Portfolio Manager. Communication is to be handled with extreme care and discretion.
10. Agree to take continuing education classes as requested (to be paid by Employer)
11. Maintain periodic training on safety procedures and in-house safety equipment, including fire alarms, emergency evacuation, and other available safety measures and equipment. Maintain current tenant information.
12. Schedule, coordinate, and monitor all moves in and out of the building to ensure proper care is taken and tenants billed as necessary for damage.
13. Document all irregular activity by tenants and guests, paying particular attention to new roommates, pets, tenants decorating, painting, bringing in new appliances, illegal dumping, etc. Report to Portfolio Manager immediately.
14. Dress appropriately for the job.
15. Maintain regular method of communication with tenants and Portfolio Manager.
16. Respect Owner's privacy and refrain from telling tenants his/her opinions, actions, and whereabouts.
17. Attend hearings, court, meetings as needed by Owner or Portfolio Manager.
18. Handle building emergencies as outlined in the Resident Manager Procedures Manual.
19. Meet with Portfolio Manager as necessary.
20. Maintain cleanliness of building and curb appeal per schedule.
21. Maintain building property as directed. Walk the building from top to bottom twice a day ( AM & PM)
22. Present tenants with a 24-hour notice for access to their apartments for repairs and/or inspections. No notice is required to enter apartments in an emergency.
23. Keep building secure.
24. Follow all procedures and policies.
25. Responsibility for collection, preparation and submission to office of rents each month.
26. Check fire alarm and smoke detectors, elevator and boiler systems daily to ensure they are set and operational.
27. With the permission of the Portfolio Manager, arrange for a responsible person to carry out the duties of Resident Manager if you go on vacation or become ill.
28. Submit monthly time sheets on the 1st and 16th of each month.
29. AND OTHER DUTIES AS ASSIGNED BY THE Portfolio Manager
Requirements
1. Must be available to respond to tenants and office as needed. Work hours are flexible.
2. Must have a working cell phone
3. Must have computer access with an email account
4. Must pass a criminal background check
5. Must pass tenant application screening process
