ADMINSTATIVE ASSISTANT - CONDOMINIUM

Large Condominium in North Bethesda is seeking a full-time administrative assistant. Experience in condominiums is preferred. Individual must be detail oriented, have word processing skills, and computer skills. Candidates must have excellent written and oral communication skills. Regular monitoring and posting to website and discussion forums expected. The Administrative assistant will work Monday to Friday with occasional weekend hours. Salary $40k to $45k. Metro accessible.

Below is the job description.

Supervision: The Administrative Assistant is an employee of the condominium and works under the supervision of the Site Manager. They will comply with all established policies and operational procedures. They are to work closely with the Site Manager to successfully manage all aspects of the community.

Maintain resident files and databases for authorized residents, contact information, non-resident owners, vehicle registrations, and bicycle permits

Audit resident files twice a year (verifying authorized residents, contact information, vehicle registrations, fob/remotes assigned to that unit, and other updates as indicated by information in file)

Complete quarterly audits of non-resident addresses and update as needed

Personally, inspects all common areas at least twice a week.

Assures that the office is clean, neat and well maintained and the desk and filing cabinets are orderly.

Oversees the work of staff and contractors to assure that the overall appearance and condition of the Condominium is of high quality.

Maintains uniform office hours as approved by the Site Manager.

Assures that common areas are clean and in good repair, including halls, stairways, fitness areas, and pool, parking and storage areas.

Conducts personal review of grounds at least once a week

Process resident requests for call-box entries, pool passes, bike permits, lock changes, fob purchases, and garage card keys

Maintain calendar for community room rentals and process rental agreements

Process invoices & money received by using cash reports and send them to the main office

Obtain proposals for community improvements

Maintain community bulletin boards

Fill in for front desk staff if needed

Send violation letters and track status of violations to ensure compliance with community rules.

Visit with each owner, tenant etc. prior to this occupancy – explaining in detail our Rules and Regulations, By-laws all in conformity with our recorded documents in the State of Maryland and in Montgomery County.

Must have excellent verbal and written communication skills and be able to communicate with residents in person or thru the association Forum and websites.

Assign work order requests and follow up with residents

Input all Work Orders into tracking system.

Other duties as assigned
