Executive Assistant, Human Capital - Global Investment Banking Advisor
Well-known Global Investment Banking Advisory Firm in Midtown Manhattan is seeking a new Executive Assistant to support two top-level executives in their Human Capital Group. Candidates must have a minimum of 5-8+ years of applicable administrative experience, ideally working in financial services or within a human capital/HR-related department, and a Bachelor’s degree is required. The ideal candidate is a highly motivated, proactive, and detail-oriented individual with a strong work ethic and excellent problem-solving skills. They should also be accustomed to working in a very busy, fast-paced, and ever-changing environment with a focus on client-service. Salary depends on experience (90-110k base), plus paid overtime (approx. 15-20k) and discretionary bonus eligibility (approx. 10-15%).
Hours: 9:00am – 6:00pm, with flexibility as needed. Hybrid work schedule (4 days in-office / 1 day remote).
Responsibilities:
Responsible for extensive calendar management, proactively prioritizing a constantly evolving schedule to keep the Co-Head and MD on track as well as monitoring calendars for the Managing Directors and Directors.
Anticipate and resolve potential scheduling/logistical conflicts with an appropriate sense of urgency and professionalism.
Act as gatekeeper for the Co-Head and MD; diligently screen and answer phone calls and respond to internal/external inquiries as necessary to maximize time of managers.
Handle confidential materials for the HCG team with the utmost degree of care, integrity, and discretion.
Ability to liaise frequently with other departments within the firm to coordinate conference calls and meetings, as well as troubleshoot daily issues for the HCG team.
Prepare and process expense reports utilizing Workday.
Coordinate domestic and international travel arrangements (not heavy) as needed.
Provide additional administrative support, including copying, filing, scanning, printing, preparing materials for internal meetings, setting up video conferences, booking conference rooms, ordering food/drinks, etc.
Participate in various ad-hoc projects and perform other duties as assigned.
Requirements/Qualifications:
Minimum 5-8+ years of applicable administrative experience, ideally working in financial services or within a human capital/HR-related department.
Bachelor’s degree required/strongly preferred.
Punctual, organized, and extremely detail-oriented.
Excellent analytical, time-management, and organizational skills; flexibility and ability to manage several priorities/projects in a very busy, fast-paced environment.
Superior communication and interpersonal skills – both written and oral – with the ability to develop strong working rapport with employees at all levels of the firm
Strong team player with positive attitude and willingness to assist with all assigned duties.
Proficiency in Microsoft Office suite (especially Outlook, Excel, PowerPoint, and Word).
Someone who knows to give reminders to executives before their meetings start to ensure they are on time, give breaks between meetings, etc.
Someone who is “one step ahead.” Calendars are always changing – person needs to follow up with executive to make sure that things need to be moved around to accommodate so they’re not running late the whole day.
Sensitivity to confidential matters.
Familiar with operating as part of a global team.
Sound judgment – knowing when to escalate an issue combined with a willingness to be flexible and pragmatic when appropriate.
