Responsibilities of the Office Manager –

Work Orders (W/O) Management

Accountant/Bookkeeper – Oversees billing, accounts payable/receivable.

Enter W/Os into the Invoice Tracker spreadsheet (Google Sheets).

Create the bill for each W/O in QuickBooks (QB).

Send W/O confirmation email to the corresponding community.

Invoice W/Os in QuickBooks, ensuring accurate amount and description.

Upload invoices to the community portals (e.g., VendorCafe, NetVendor, Yardi, etc.).

Maintain the weekly subcontractor payment list up to date.

Merchandising Campaigns and Communication

Execute merchandising and branding campaigns in communities (as planned).

Coordinate logistics for delivery of promotional materials.

Administrative Support

Organize documents related to contracts, permits, licenses, and field reports.

Perform basic information verification and follow-up on administrative tasks assigned by the COO.
