It also requires the ability to handle ambiguity in the work plan definition to adapt to frequent changes in priorities and urgencies of a specific project and work assignments.

Handle details of a highly confidential and critical nature.

Strategically manage high-level contacts of sensitive nature inside and outside the company.

Collect, organize, and prepare information/presentations for SVP-GMM meetings with the Executive staff, the Board of Directors, SSC, the Regional Teams/Stores, and outside individuals.

Coordinate meetings and conference calls for the department and the company, including food and beverage, and attend as requested.

Manage travel arrangements for SVP-GMM and head Merchants (VP-Senior Merchant-Merchant)

Organize department social gathering events and activities

Handle Merchandising Team’s international business trip visa application through the passport agency

Track and process expense reports for SVP-GMM.

Manage trade show registrations for the department

Report monthly actual travel expenses vs budget

Plan company events, department, and company off-site meetings & activities.

Manage department training schedules and invites

Manage Merchandising overall calendar for meetings and reminders

Prepare correspondence and daily-weekly-monthly-quarterly reports.

Keep the department org chart updated and published at SharePoint.

Manage Merchandising department SharePoint site

Manage “new hire kit” for the new hires in partnership with HR

Manage express mail services (e.g., UPS, FedEx, etc.)

MINIMUM ELIGIBILITY REQUIREMENTS College degree preferred and 5 years of executive administrative assistant experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company. Additional relevant experience can be substituted for the required education on the basis of one calendar year of experience for one academic year of education.

Advanced experience in MS Office Suite (i.e., Word, Excel, PowerPoint, etc.)

Exceptional interpersonal skills.

Excellent verbal and written skills in English.

Superb organization skills.

Calendaring and meeting management experience.

Ability to change gears at a moment's notice.

Accurate and reliable note-taking skills.

Ability to prioritize and multi-task.

Extensive experience in making travel arrangements nationally and internationally.

Ability to anticipate the needs of the executives.

Ability to work in a fast-paced, high energy, and demanding environment

Experience working with senior level executives within and outside the company, as well as with customers, vendors, visitors and other dignitaries.

Attention to detail with emphasis on accuracy and quality.

WORKING CONDITIONS (TRAVEL, HOURS, ENVIRONMENT)Occasional travel may be required including air and car travel

The noise level in the work environment is typically quiet.
