Administrative Assistant
Here is a unique opportunity for a special person to work closely with a semi-retired executive who manages various complex businesses. Although not required, an accounting background is helpful. Of importance is a high level of computer proficiency with a quick mind. We are looking for someone who has experience working in a network environment and is proficient with the Windows operating system, Word, Excel, Outlook and QuickBooks.
We are looking for a mature individual with a happy disposition who is courteous and professional by nature. Since there are a great variety of tasks to perform, the ability to multi-task, follow through and communicate effectively is important. The ideal candidate will not only be accurate and reliable, but have high personal standards and work ethics.
Responsibilities:
Screen and manage incoming emails and faxes
Maintain electronic filing system
Create and send receipts to clients
Maintain accounting records
Create and maintain files, forms and reports
Draft correspondence and memos, including detailed proofreading
Perform ad hoc projects as needed
Travel arrangements via web
Expense reports (Excel)
Board minutes
Proofread/Edit agreements, contracts, and correspondence with accuracy
Prepare lease agreements and addendums
3-day notices and Unlawful detainer cases
Skills and Abilities:
Strong integrity and professionalism
Outstanding initiative and a strong work ethic
Stable work history with minimum 5-7 years office experience
Bachelor's degree preferred, but not required
Strong computer skills, including Word, Excel, Outlook and QuickBooks
Excellent interpersonal, verbal and written communication skills
Proven ability to manage and prioritize tasks and work independently
Outstanding organizational skills with high attention to detail
Excellent problem solving skills
