We are looking for a competent manager to help with the organization and running of the daily administrative operations of the company. The primary focus of this position is taking incoming calls and routing to the appropriate department, taking incoming leads, assisting and routing technicians, general office manager duties and light cleaning. This position will also require daily insurance collections and customer invoices.

Hours for this position will be between 8am to 5pm Monday through Friday, and weekends as needed.

The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks, and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail, and discretion as well as incorporating new and effective ways to achieve better results.

Responsibilities:

Organize office and assist associates in ways that optimize production and procedures.

Sort and distribute communications in a timely manner.

Create and update records insuring accuracy, and validity of information.

Schedule and plan meetings and appointments.

Monitor level of supplies and handle shortages.

Resolve office related malfunctions, and respond to requests and issues.

Coordinate with other departments to ensure compliance with establishing policies.

Maintain trusting relationships with suppliers, customers and colleagues.

Perform office receptionist duties as needed.

Daily collections of insurance and customer invoices.

Skills:

Proven experience as an office manager, office assistant, or other relevant administrative roles.

Knowledge of basic computer software, (ie) Quickbooks, Excel, Microsoft word and Office.

Working knowledge of office equipment.

Thorough understanding of basic office procedures.

Excellent organizational and time management skills.

Analytical abilities and aptitude in problem solving.

Excellent written and verbal communication skills.

Bilingual (Spanish speaking) preferred.

Salary - $20-$25 per hour, based on experience.

Schedule:

8 hour work days

Monday - Friday

On Call

Overtime

Weekends (As needed)

Education:

High school diploma or equivalent (preferred)

Experience:

Microsoft Office - 1 Year (preferred)

Customer service - 1 year (preferred)

Quickbooks experience preferred.

Water damage and restoration experience is preferred, but not required.

Work location - In Person

Two References preferred.
