We are a residential property management office in Alameda. We are looking for a self-motivated and efficient person to join our team.

General clerical duties, filing, letter writing, data entry, sorting mail, maintaining Excel spreadsheets, google docs

QuickBooks data entry - accounts receivable, running reports, preparing deposits'

Work on special projects as directed

Communicating effectively with residents, guests, vendors, employees, and managers in a positive, productive, and efficient manner presenting a positive, welcoming environment in the office.

Assisting in the hand-delivery of correspondence to 200 dwelling units.

Answering phones promptly and professionally, directing callers to the correct destination, and following up on any calls and emails related to Property Management that need to be examined further.

Checking email and voicemail regularly throughout the day to ensure prompt attention to immediate issues.

Providing strong team support by assisting the Manager with meeting packet organization, mailings, escrows, events, and problem resolution.

Other administrative duties as assigned

Running errands, making deposits at the bank, and post office, and delivering documents to the title company.

Help resolve resident issues regarding lease governance, and maintenance issues, answer questions, problem-solve answer questions, problem-solve, and provide guidance on various matters related to the management of properties.

Qualifications

High school or equivalent (Preferred) Customer service: 1 year (Preferred), Clerical and office experience, property management

Driver's License (Preferred)

Bilingual Cantonese or Mandarin a plus

Knowledge of QuickBooks, Excel, Word, Outlook, Google Docs

Strong English written and verbal communication skills. Ability to effectively present information to residents, vendors, managers, and other employees of the organization.

Attention to detail, multitask oriented, professional mannerism, self-motivated, proactive, highly organized.

This is a small office and we must work together to get the job completed. New issues, emergencies, and tasks come up on a daily basis. The employee must be self-motivated, a fast learner, a multi-tasker, and willing to think outside the box.
