Job Summary: HIP Housing is seeking a detail-oriented and compassionate SSP Specialist to ensure the smooth operation of our Self-Sufficiency Program. This role will be pivotal in providing administrative support, overseeing our Holiday Adopt-a-Family Program, conducting outreach activities, and managing ad hoc projects.

Responsibilities:

Administration

- Respond to inquiries and prescreen potential candidates by reviewing their pre-application and personal reference forms.

- Conduct a Prescreening Intake appointment with potential SSP candidates, including a budget worksheet.

- Coordinate and schedule financial literacy workshops.

- Manage workshop absences by sending a warning letter, providing make-up parenting models, and/or financial literacy education training.

- Create a HOP Scholarship letter outlining the client's rent, HIP Housing's scholarship, landlord information, and scholarship timeline for the client and Finance Department.

- Share community resource information with clients.

- Send acceptance and denial letters to SHARE and HOP applicants.

- Coordinate SHARE move-in activities with the HHAV team, including assisting with rental applications, background checks, and maintaining communication with the HHAV team and client.

- Participate in activities to train new staff and interns.

Adopt-A-Family Program [in collaboration with the Director of Programs]

- Coordinate communication with clients and donors about the Adopt a Family program

- Send wish list forms to families and application forms to donors.

- Plan the Adopt a Family event

- Create flyers, guidelines, and marketing and donor recruitment program descriptions.

- Maintain an active donor list with current email, phone, and addresses

- Coordinate the annual gift drive with Wilson, Sonsini, Goodrich, and Rosati employees

- Purchase gifts or gift cards with funds raised.

- Coordinate gift drop-off times/dates with donors.

- Track all money received and spent.

- Create a summary of the Adopt a Family activities for donors, staff, and clients.

Outreach

- Serve as the point of contact for all community partners.

- Provide program information and eligibility requirements to referring community partners and applicants over the phone, virtually, or in person.

- Schedule in-service presentations from community organizations

- Maintain communication with clients' landlords and assist in the recruitment of new landlords

- Maintain partnerships with WANDA and the Soroptimist Club for client referrals to apply annually for a matched savings account and scholarship monetary financial award.

- Attend outreach tabling or presentation events to raise awareness of the SSP in the community.

Ad-hoc Projects

- Support the Development team by providing information for funding reports (Client story and/or program statistics).

- Facilitate three SSP Workshops each year, including serving as the department's representative, taking attendance, and networking.

- Participate in quarterly home visits of the SHARE properties to assess furniture and house needs.

- Oversee and maintain communication with clients about special donations through partner agencies such as Cake 4 Kids, My New Red Shoes, and Backpack donations.

Required Skills/Abilities

- Outstanding communication and interpersonal skills.

- Strong attention to detail.

- The ability to be creative, think outside the box, and keep the bigger picture in mind.

- The ability to oversee many projects with excellent time management skills.

- The ability to reflect, improvise and adjust to the population you're working with trauma-informed, coach-ready, conflict resolution skills and financial coaching is highly recommended.

- Knowledge of community resources, current social work theories & practices is highly desired.

- Prolonged periods of sitting at a desk and working at a computer screen.

- Must be able to lift 15 pounds at times.

Education/Experience

- Proven experience as an administrator or a relevant role.

- Bilingual in both Spanish and English, preferred.

- A high school diploma, BS/BA in office administration, or relevant field is preferred.

- Familiar with office management and basic accounting principles.

- Familiarity with HelloSign, Dropbox, and other social service database systems.

Compensation and Benefits

- Full-time, non-exempt, at-will, annually reviewed position

- $55,000-$62,400 annual salary, based on experience
