Position Summary:

The Office Supervisor is responsible for the coordination of day-to-day front operations of office staff. The position monitors the activities of all front office operations to ensure the staff is compassionate and provides professional care for clients with effective and efficient office workflows. The position is responsible for leadership and development of staff, delivering outstanding client experience, and achieving customer service responsiveness expectations. The supervisor advises and seeks consent from the organizational leadership to coordinate and manage activities.

Qualifications:

EXPERIENCE REQUIREMENTS Two years of customer service. Supervision experience. Essential Functions:

Coordinate and manage the activities of front office team members engaged in checking in clients and performing general administrative tasks.

Provide operational support for tasks and job functions performed in areas of responsibility, including protocols, processes, policies, and procedures.

Provide leadership within the office setting in order to ensure effective, efficient office operations, optimizing performance and continually improving quality of care in a vastly changing health care environment.

Monitor daily performance of front office team members to ensure duties are completed accurately, efficiently and timely. Monitor and control overtime.

Evaluate performance of front office team members and discuss any disciplinary actions with the immediate supervisor and Human Resources office.

Assist with or conduct periodic staff meetings with team members.

Maintain excellent communication and effective working relationships with clients, providers, staff, clinical and team members, as well as the public.

Ensure high quality customer services for clients and referral sources by reviewing and responding to concerns or complaints promptly; reporting concerns and complaints to management as needed and recommending corrective action as appropriate.

Maintain the appearance and materials in the waiting room.

Monitor the flow of client check in and check out. Keep clients informed of delays and work with staff to recommend remedies to minimize delays.

Be available for office staff to answer questions.

Assist with interviews, conduct orientation and training on front office policies and procedures.

Identify and recommend solutions to front office team member and office issues or problems.

Maintain adequate front office supplies. Ensure supply purchases are cost efficient and within the budget. Review and approve supply receipts in compliance with current process and practice.

Serve as a back-up for front office team members as needed by checking clients in and out and performing general administrative tasks due to staffing needs including vacations, illnesses, lunches, etc.
