JOB DESCRIPTION AND POSITION REQUIREMENTS:The Department of Biobehavioral Health (https://hhd.psu.edu/bbh) (BBH) in the College of Health and Human Development (https://hhd.psu.edu/) at Penn State is seeking a motivated and dynamic professional to join our administrative team as the Academic Program Coordinator for our graduate program. This role is pivotal in supporting the academic journey of our students, working closely with faculty, staff, and department leadership to ensure the smooth operation of our graduate programs. Key Responsibilities:
Communicate with faculty, staff, advisers, and students; respond to inquiries related to individual courses, degree requirements, or the overall academic program.
Prepare and maintain student files; monitor graduation requirements; ensure accuracy of degree requirements.
Facilitate the process for reviewing requests and updating student course/program changes; process grade change forms, add and drop, and registration forms.
Collaborate with faculty and department leadership to forecast course enrollment; retrieve, compile, and analyze course data.
Coordinate and implement policies, procedures, and activities pertaining to student records across a department.
Coordinate scholarship, assistantship, and fellowship data and funds; prepare award letters, monitor expenses; assign and monitor teaching assistant class assignments.
Plan and coordinate events, including orientations, prospective student visits, and other program events.
Communicate with students to promote program-specific opportunities, including workshops, organizations, internships, and career development opportunities; collaborate with faculty and program staff to develop marketing materials.
Create and maintain databases; compile academic data and prepare reports for department leadership related to enrollment data, student progress, and experience.
Assist with department or program website; review content and ensure that information is accurate.

Education and Experience Requirements:
This position will be filled at the Support, Intermediate Support, or Senior Support level, depending on the candidate’s qualifications and experience. The minimum requirement is a High School Diploma/GED or Vocational Training/Degree. Equivalent combinations of education and experience will be considered for the Support level, while additional qualifications and competencies are required for higher-level positions.Preferred Experience/Skills:
Proficiency in Microsoft Office 365 (Teams, Word, Excel, Forms, SharePoint, OneDrive).
Strong organizational skills, with attention to detail in maintaining records and coordinating tasks.
Excellent communication and interpersonal skills, with a proven ability to work both independently and collaboratively.
Familiarity with graduate admissions, student information systems, and program management.
Ability to manage multiple priorities with professionalism and a customer-service mindset.
A genuine appreciation for working with diverse populations, contributing to an inclusive academic environment.

Work Arrangement:
This position is based on-site, with typical hours from Monday to Friday, 8:00 am – 5:00 pm.
