Administrative Assistant - Bilingual Spanish

We are seeking a highly talented individual to support the front/back-office functions of the company. The duties include assisting admin departments on ongoing projects, greeting visitors, answering and routing phone calls, and providing support as necessary. We are looking for a friendly, people-oriented, and customer-driven individual. Ability to communicate clearly with co-workers, visitors, and clients. Must be thorough and punctual. Ability to prioritize and work in a highly active environment and have excellent organizational skills.

MUST BE BILINGUAL - ENGLISH AND SPANISH

Job Responsibilities/Duties:

· Help prepare Quotes and Proposals for new and ongoing projects.

· Prepare Job Change Orders for projects per the request of a Project Coordinator.

· Maintain an accurate and up-to-date log of Quotes, Proposals, Change Orders, and Work Orders.

· Create and distribute Work Order Books for awarded jobs to the company's different departments.

· Ship steel, wood, and glass samples to clients per the Project Coordinator's request.

· Keep inventory of steel color samples, such as Galvanized and Metalized Burnished Bronze, Gun Metal, and Antique Coin.

· Keep contact master lists updated.

· Maintain and update spreadsheets and Job Binders.

· Answer and route call for three respective companies.

· Greet, screen, and direct visitors and/or phone calls to the appropriate person and/or department.

· Keep Lobby supplies stocked (i.e. eating utensils, plates, cups, coffee creamer, filters, sugar, etc.).

· Sort and open the mail and communicate when boxes arrive to the appropriate department/personnel.

· Ensure the maintenance of the company copier (keep toner stocked, paper, etc.) as well as call technicians when necessary.

Qualifications and knowledge:

· Language proficiency in Spanish.

· High School Diploma or general education degree (GED) required.

· One (1) year of relevant work experience is required, preferably as a receptionist or administrative assistant.

· One (1) year of customer service support experience.

· Intermediate proficiency with Microsoft Word, Excel, and Outlook.

· Professional Phone Etiquette.

· Interpersonal Skills, both in writing and verbal communication.

· Ability to multi-task in a fast-paced atmosphere.

Full-time position

1st shift - 7:30 to 4:00 pm (Mon - Fri)

Pay range: $20 - $23 (DOE)
