Position Type: Part-time off-season and full-time during peak season

We are looking for a highly organized and proactive Tax Administrative Assistant to join our team. Job Summary: As a Tax Administrative Assistant, you will play a crucial role in maintaining the smooth operation of our office and ensuring top-notch client service. Your responsibilities will encompass a wide range of administrative tasks, including professional client communication, scheduling, file management, tax assembly and general office duties.

Key Responsibilities:

Client Communication:

Maintain professional and timely communication with clients via email/phone/in-person during working hours (Monday-Friday 8am-5pm PST)

Assist with general inquiries and maintain a welcoming atmosphere for clients

File Management:

Organize, maintain, and update client contracts and documents with meticulous attention to detail: including scanning tax documents and collating printed tax returns for clients

Project Management

Assign and keep track of project statuses and due dates

Scheduling:

Manage and coordinate appointments for clients and team members.

Effectively schedule and prioritize tasks to ensure the efficient flow of daily operations.

Team Support:

Collaborate with team members to ensure the efficient flow of information and tasks within the office.

Assist with ad-hoc tasks and projects as needed.

Flexibility and Prioritization:

Adapt to changing priorities and handle multiple tasks simultaneously.

Take initiative and work independently with minimal direction when required.

Qualifications:

Required:

High school diploma or equivalent; relevant coursework or an associate degree in business administration is a plus.

Prior experience working in a tax/accounting firm.

Excellent verbal and written communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe Acrobat, Google Docs/Sheets.

Strong organizational and time management skills.

Ability to maintain a high level of confidentiality.

A proactive and self-motivated attitude.

Flexibility to work in a fast-paced environment and adapt to changing priorities.

Preferred:

Proficiency with practice management and tax software programs such as Lacerte, CCH Axcess, SafeSend, Canopy
