Stellar Administrative Assistant Needed for Premier HOA
The Community of Harbor Bay Isle Owners’ Association, a premier homeowners’ association located in Alameda, has an immediate opening for an enthusiastic, self-starting Administrative Assistant. The administrative assistant is responsible for providing support to the Administrative, Architectural, and/or Management Services Departments, with tasks including but not limited to the following:
1. Preparation of correspondence;
2. Departmental filing;
3. Assembly & distribution of Board/Committee Meeting packages and departmental reports;
4. Interfacing with and addressing homeowner’s direct requests;
5. Initiating and monitoring progress on architectural applications;
6. Preparing for meetings;
7. Covering the Front Desk as needed throughout the day, including answering phones, opening
and distributing mail, taking payments, and other Front Desk duties as directed;
8. Performs other duties as assigned.
EDUCATION/EXPERIENCE/QUALIFICATIONS:
1. Completion of high school diploma or GED; specialization in business courses desired;
2. Proficiency in Microsoft Office, especially in Word, Excel, and Email.
3. Ability to type 40 wpm;
4. Positive, professional, self-motivated with a “Can Do” attitude;
5. Detail oriented and able to work under minimal supervision;
6. Follows through on deadlines, and is punctual in attending duties;
7. Keeps work area clean, safe, and organized;
8. Excellent customer service skills;
9. Clear and effective oral and written communication skills;
10. Must be a team player and supportive of staff and organization goals.
11. Able to regularly lift and /or move up to 10 pounds and frequently lift and/or move up to 25 pounds;
12. Must hold a valid California state driver’s license and be able to drive as needed throughout the Community for various tasks.
WORK SCHEDULE: Full time – Monday through Friday (40 hours per week, 8 hours per day, work hours between 8:00 am & 5:00 pm)

A detailed job description will be discussed during the interview process. Job advancement/growth available. Salary starts at $25 per hour and is dependent on skills and experience; a benefits package including medical, dental, and vision is available after 90 days.
