The position will require discretion, judgment, tact, poise, and the ability to prioritize, prepare correspondences, and research highly confidential materials and issues. The person in this position will be required to interact with a wide range of employees, clients, and business partners and provide excellent customer service. Requirement for in-office presence in our NY office location 3 days/week, in adherence to Publicis corporate policies.Responsibilities

Provide administrative support with a high degree of initiative, confidentiality, and professional demeanor. Maintain poise to project a professional image of the office with diplomacy and creativity in work strategies.

Provide business travel support, including reservations and expense reports, monitoring travel schedules, and providing backup plans as needed.

Act as an ambassador of Starcom and Publicis, becoming familiar with systems, tools, services, and personnel across the network

Co-locate 1-2 days/week at our front desk and ensure all who pass through the doors of Starcom are greeted with a friendly face by greeting and ushering guests

Maintain calendars using Microsoft Outlook with little input. Schedule meetings using knowledge and good judgment of priorities.

Coordinate office and department meetings and events including securing rooms, AV, and catering as needed and coordinating with the Facilities and AV teams.

Resolve employee complaints and concerns through resourcefulness, follow-ups, and collaboration.

Partner with and support Starcom’s other Executive Admins across the US offices.

Maintain confidential files and records using judgment and discretion.

Handle internal & external correspondence; create reports and presentations, as necessary.

Seek out opportunities to evaluate existing processes and make improvements when necessary.

Build effective, professional relationships with co-workers, clients, and business partners.

Perform duties and projects as assigned by the manager.

Qualifications

5+ years of experience in administrative role supporting executive-level employees

Proficient with Microsoft Office (Excel, Word, PPT, and Outlook)

Experience with systems and tools such as timekeeping software, expense platforms, and travel platforms, is preferred

Excellent communication skills

Strong organizational and project management skills

Attention to detail and accuracy

Excellent judgment, problem-solving, and decision-making ability

Excellent relationship building skills

Ability to handle sensitive and confidential information with integrity

Ability to multi-task and prioritize; demonstrated agility and flexibility

Passion and enthusiasm for the position and our agency

This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time.
