Executive/Family Office Assistant Job Description
Busy executive seeks strong support from a qualified, educated executive assistant that is able to manage across a wide range of professional and personal projects. Responsibilities will span professional support for financial services firm, engagement in a variety philanthropic commitments and personal financial affairs.
Responsibilities
Manage professional and personal scheduling, including agendas, mail, email, phone calls, client management, and other company logistics
Coordinate scheduling and calendar management, as well as content and flow of information to team members and clients
Manage travel logistics and activities
Provide administrative support, including project tracking, spreadsheet creation, and maintenance of filing system and contacts database
Organize team communications and plan events
Coordinate and manage personal affairs including travel, homes, cars, insurance, payments and philanthropic activities
Maintain professionalism and strict confidentiality with all materials
Required Skills and Qualifications
Two or more years of experience in an administrative role supporting senior executive(s)
Excellent written and verbal communication skills
Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
Proficiency with office productivity tools and an aptitude for learning new software and systems
Flexible team player
Ability to maintain confidentiality of information related to the company and its employees
Preferred Skills
Experience with project management and tracking software
Creation of spreadsheets for budgeting and other tracking purposes
Knowledge of Salesforce.com
Knowledge of financial services industry
Comfort with budgeting, negotiation and contracting
Location: Preferred location is Northern Nevada, encompassing Truckee, Tahoe, Reno, or Carson City. Work week could be split between in-office and at-home.
Compensation: Commensurate with experience: $75,000-$100,000+ and benefits.
