General Description: The Accounting Assistant plays a crucial role in supporting the Office of Financial Services. This position is responsible for administering the University's Corporate Credit Card Program as well as other accounting related responsibilities. This position also provides support to the AVP for Finance, Accounting Tea, and all areas of the Office of Financial Services. Reports to the Director of Financial Operations.
Essential Functions and Responsibilities:
- Administer the PLU Purchasing Card Program (P-Card).
- Serve as the technical expert for the use of the online P-card reporting system (Bank of America Works).
- Conduct regular training sessions for new and offer ongoing support for existing cardholders, reviewers, and approvers.
- Ensure timely and accurate updates to credit limits, single transaction limits, cash advance activation after obtaining necessary approvals from authorized personnel.
- Follow up on outstanding P-card charges that have not been signed off on or approved.
- Receive, review, and process P-card applications for new cardholders.
- Monthly P-card reconciliation including the upload into the Finance module.
- Conduct regular departmental audits to ensure compliance with P-card policies.
- Reconcile the vault daily, prepare cash drawers and bank deposits, and post entries into the Finance module.
- Review and reconcile Travel Expense Vouchers.
- Review and post departmental expenses to the Finance module.
- Identify, review, and post monthly Use tax for P-card transactions.
- Prepare and post monthly Excise tax.
- File and pay Excise and Use tax to the Department of Revenue.
- Assist in processing expense transfer memos, prepare journal entries and input into the finance module.
- Assist with bank reconciliations.
- Process wires, ACH, and foreign current requests.
- Perform other duties as assigned.

- Proficiency in Excel.
Required Qualifications:
- 2 years of experience in an accounting or finance office setting. Education may substitute for some experience.
- High school diploma or GED.
- Finalist applicants must satisfactorily complete pre-employment background checks, including a credit check.
Preferred Qualifications:
- Bachelor's degree.
- Experience using Banner ERP.
- Experience working in higher education.
