Coordinator Perioperative PurchasingReq #:0000176622Category:Inventory ControlStatus:Full-TimeShift:DayFacility:Community Medical CenterDepartment:DistributionLocation:CMC Support, 99 Highway 37 West, Toms River, NJ 08755Job Overview:The Coordinator role coordinates systems and processes for acquisition, movement, and organization of materials throughout Perioperative Services Department. They workclosely with the Perioperative Inventory Manager to maintain a current on hand inventory at the proper par levels.They collaborate with physicians and nursing personnel in the acquisition of capital equipment, supplies, and equipment repairs. The Coordinator assists the Technology Analyst with the evaluation of New Technologies and requested specialty supplies.Qualifications:Required:

Computer skills required, Microsoft Office, spread sheets, PeopleSoft (will train)

Excellent analytical skills; customer service skills

Preferred:

Five to seven years experience as a purchasing and/or contract negotiator, preferably in a health care setting

Management experience

Perioperative experience

Moving down in order of pertinence

Essential Functions:

Applies cost effective measures, works towards product standardization and increases utilization of contracts, working collaboratively with the Purchasing Dept and Periop Administrators

Arranges with vendors for replacement of defective or recall items purchased. Facilitate the return to vendor and credit memo process in the MMIS

Reconcile invoices discrepancies with Accounts Payable in a timely manner

Confirms that tissue suppliers are registered with the U.S. Food and Drug Administration as a tissue establishment and all regulatory documents are up to date

Coordinates tissue acquisition, receipt, storage throughout the hospital. Follows the tissue suppliers or manufacturers written directions for transporting, handling, storing and using tissue

Documents the receipt of all tissues verify at receipt that package integrity is met and transport

temperature range was controlled and acceptable

Develops long range plans for standardization and contracting for assigned areas

Ensures the timely and economic procurement of all supplies,

equipment and services for the OR

Discusses corporate contracts and/or proposals for new products with Administrative Director of Perioperative Services

Investigates new technologies and potential alternative products, vendors, and suppliers

Meets with department heads, users, Product Analysis Committee, and Finance in order to meet purchasing needs

Manages data entry functions related to creation of Peri -Op Purchase Orders to ensure timely delivery of all supplies.

Provides assistance to customers regarding accuracy of orders and timeliness of their deliveries

Monitors monthly expenditures and projects trends in new services to maintain the operating budget on target.

Collaborates with the Director, Clinical Chiefs, and nursing staff in the planning of all capital and modernization projects

Negotiates the purchase of supplies, instruments and equipment to meet the needs of Perioperative Services

Repair instrumentation and equipment management

Monitor vendor performance and notifies vendor when performance falls below expectations

Performs special projects and assignments as requested by the Director. When required, performs the duties of peers during their absence

Plans and conducts research for negotiations, obtains background information, uses the MMIS to research Hospital purchasing history, conducts discussions with current users, and compares prices, terms and performance requirements for the hospital

Works collaboratively with Instructors and Directors of Patient Care to insure appropriate inservices are provided by vendors for new products on trial or purchased, for nursing staff and physicians
